Job Description

Purpose of Role/ Job Summary:

To provide outstanding PA services to both the Director Health and Safety and Director for Environment and their senior teams in day to day activities.

Individual must be self motivating and proactive. Possess an ability to make decisions and work on their own initiative, guided by business priorities.

Main Duties and Responsibilities:                                                                                                        

  • To provide comprehensive and efficient first class secretarial support to the Director for Environment and Director of Health & Safety
  • Manage the diaries and arrange meetings with MD’s, Heads of Enabling Functions and external parties 


  • Manage emails of both Director of Environment and Director of H&S
  • Ensure all documentation and information is prepared in advance of meetings the Directors attend


  • Deal with Confidential information, documentation and reports
  • Type and collate minutes from meetings
  • Organise international travel, site Tours, visits, client and organise internal meetings
  • Support Environment and H&S week and any away day activities
  • Manage sites for ESSV tours and bonus measure KPI’s 
  • Support to EHS Leadership teams


  • Notification to Directors to ensure reporting deadlines are met
  • Supports EHS in management of invoice and accounts information
  • Management of conferences and facilities for conference and meetings as appropriate


  • Work with Comms, HR, procurement and Precon to provide information

Key Work Relationships:

  • Senior EH&S Managers, Managing Directors, Health and Safety Executive,  Clients and their representatives
  • EHS Administrator
  • Environmental Agency, Industry bodies, Competitors MD’s, Heads of Enabling Functions


Person Specification

Experience/Knowledge Required:


  1. Excellent organisational skills and a background providing support to a team of executives
    1. Accuracy and attention to detail
    2. Outstanding communication skills, both written and verbal
  2. Must be able to work under pressure with ability to prioritise work and delegate where necessary
    1. Must be proficient in Microsoft office including Outlook, word, excel and power point
    2. A keen interest in sustainability and specifically EHS
