Role Overview

An exciting opportunity exists for a data driven and methodical individual to provide pivotal business administration support to our growing FMDJ bid function at Amey. The Amey FMDJ sales function cover a range of bids including; infrastructure and asset management, facilities management and complex support services. Bids may range in value from £5m to £150m. The successful individual will provide key administrative, reporting, and customer relations support to ensure and enable the effective operation of the business development and bidding functions.

Primarily based in Oxford this role may require travel to other locations including Birmingham and London.



Responsibilities

As the Business Support Coordinator you will support a small yet busy team, typical responsibilities will include:

  • Coordinate and administer all governance and reporting both internally and to customers.
  • Maintain business development / bidding information and knowledge management systems, including Sharepoint Sites, archives and the MS Dynamics CRM opportunity pipeline.
  • Work alongside the Bidding Team to review the programme of upcoming bids and status of current bids.
  • Manage and administer communications through shared mailboxes and portals, acting as the focal point for customer and internal queries
  • Coordinate activity and resource planning processes, including liaison with other support functions, production of planning reports and administration of processes.
  • Financial administration including purchase orders and invoicing, using SAP system
  • Support the team with diary management, event and meeting management, logistics and travel arrangements, and onboarding new team members as appropriate

You may on occasion cover for the Bid Coordinator, making this an excellent first step for an individual into a career in bidding and business development.



What are we looking for?

The successful applicant will come from a background of business support and administration, ideally within a large organisation. You must be computer literate, with a demonstrable working knowledge of the MS Office suite, ideally including Microsoft Dynamics. Any experience using SAP, Sharepoint, or another CRM would be extremely beneficial. You should be well organised with the ability to multitask and remain calm and methodical in time pressured situations. Any previous experience in the Bid/Business Development sector would be preferred, as a minimum you should be able to demonstrate an interest in these functions.
