Personal Assistant
Uppingham School, founded in 1584, is one of Britain’s leading co-educational independent boarding schools, set in an attractive Rutland market town. As a boarding school, there is a strong sense of community. Almost 800 pupils (age 13 to 18) live on site 24/7 and are accommodated in 15 boarding houses, taught by two-dozen academic departments, and participate in numerous extra-curricular activities such as sports, music, drama and expeditions.
The School has over 600 full-time and part-time employees. The academic structure is supported by support departments responsible for buildings and grounds maintenance, finance, catering and boarding house services, IT network, HR, marketing, admissions, health & safety, legal affairs, sports centre, health care and the School’s trading subsidiary.
Position: PA to Senior Deputy Head
Location: Uppingham, Oakham
Job type: Full Time, Fixed Term Contract (Covering Maternity Leave) Commencing end of August 2019
Hours: Monday to Friday, 9.00am to 5.00pm, with a one-hour lunch break
Salary: £22,000 per annum, pro-rated for the duration of the fixed term contract

About the role:
The PA will manage the diary of the Senior Deputy Head and provide him with administrative and secretarial support and assist the Safeguarding Team with administrative duties.
Responsibilities:
- Obtain the Safeguarding records of new joining pupils in September and throughout the year as necessary.
- Organise meetings, create agendas, provide / organise refreshments and take minutes where requested.
- Take and circulate minutes.
- Produce and distribute the White List (a comprehensive list of School data, staff and pupils)
- Produce and distribute the termly calendar of activities.
- Organise coaches and some taxis at beginnings and ends of terms / half terms and leave out weekends to get pupils to and from airports / train stations.
- Assist the Senior Deputy Head in the update and production of School Policies.
- Organise events and any other conferences which the Senior Deputy Head may be involved with that take place at the School.
- Administer the annual pupil Pastoral Survey.
- Assist with School inspections .
- Administer the process of the Pastoral Reports and circulate to parents termly.
- Produce posters and notices for Houses at least annually.
- Ensure the smooth running of the Westholme office.
About you:
- Previous experience in a PA / Secretarial role.
- Excellent working knowledge of Microsoft Office.
- Ability to Proofread.
- Excellent attention to detail.- Enjoys dealing with young people

- Logical thinker with good time management skills
- Ability to take the initiative and work flexibly
- Knowledge of accessing and utilising information on a database desirable .
- ECDL / CLAIT or equivalent qualification desirable.
