I have an exciting opportunity for a Part Time Receptionist to join a large scale property business based in Bury St Edmunds. This position will require someone with previous receptionist experience, strong administrative skills and the ability to work flexibly in a job share role.
The main purpose of this position is to ensure continuous reception cover and deliver good customer care by responding quickly, politely and efficiently to phone calls and queries.
Primary hours will be 12.30pm 5.00pm however you may be required to also cover the morning shift of 8.30am 12.45pm.
Primary responsibilities:
§Handle phones and console management
§Answer the phone in a professional and courteous manner as quickly as possible
§Determine the purpose of callers and forward the call to the appropriate person or department or interact with the caller on behalf of staff
§Transfer calls as required
§Take accurate messages from clients wishing to be called back
§Deliver these messages to the appropriate member of staff
§To maintain the abbreviated dialing system
§To assist the Executive Secretary and ITC in maintaining the Polycom directory and phone system
Visitor Liaison
§Welcome on-site visitors
§Determine the nature of business and announce visitors to the appropriate person or department
§Keep track of key people's movements within the building and when they are working away from the office
Other Duties
§Receive and distribute mail / parcels as they arrive
§Franking outgoing mail
§Manage the franking machine supplies and top up as required
§Help other departments as required
§Managing the meeting room diary
§Receive goods/services into reception, notify the individuals of delivery, and keep reception area clear
§Type up standard letters, forms, faxes etc. as and when required
§Ensure all staff log in and out of office using company logging in and out book
§To maintain staff and site contact details, updating monthly or as required (i.e. staff listings, telephone lists etc.)
§To carry out Company H & S and security procedures in logging visitors in an out of the Regional Office
§Management of car registration document to facilitate considerate parking
§Provide cover when other part time receptionist is on holiday or absent where possible
§Organise your own holiday cover in advance with other administrative staff
§To provide training to fellow employees to ensure that adequate cover is available for holidays and sickness
Salary: £10,750 for 22.5 hours
To be successful for this position you will be required to have previous receptionist experience. This role is a true job share and as such a good collaborative approach to the role is necessary. Communication between the 2 shifts is essential to ensure smooth running of the switchboard and affiliated functions and responsibilities.
