We are looking for a Part-time Receptionist within an exciting company based in Chessington, Working as part of a job share, you will be required to welcome guests and man a busy reception 2 days per week (Mondays and Tuesdays). 8.00am-5.00pm

Reception is a key area of our office, ensuring all visitors are welcomed, signed in and the building is secure. All calls need to be answered immediately and a perception of totally understanding the business is essential. Within the job share it is a requirement that each receptionist covers the others person's holidays and any sick days. Hours for reception are 8.00 a.m. to 5.00 p.m. with 1 hour lunch.

Your role will involve liaising with a number of internal stakeholders in ensuring high standards are maintained throughout the building.

As the face of this exciting company you will enjoy working in a fast paced, buzzy environment, you could be asked anything and are a key part of the team! Key responsibilities include:

  • Responding to incoming telephone calls and emails - some of which will be of a confidential nature.
  • Monitor visitors to the building via Reception to avoid unauthorised admissions.
  • Booking of all couriers and taxis for all departments
  • Organising all outgoing mail including mail to other offices and ensure that all incoming and outgoing packages are collected from Reception promptly.
  • Distribute all incoming correspondence to the correct department.
  • Ordering and checking in deliveries for stationery.
  • Ordering catering supplies of coffee tea and water etc.
  • Ordering business lunches.
  • Liaise closely with security and Health & Safety.
  • Authorise invoices and cross charge departments.

We are looking for the following skills and experience…

As you can imagine, excellent communication and organizational skills are essential and you must be able to demonstrate an excellent telephone manner.

Previous reception experience is required and you should be proficient in Microsoft Word and Outlook.

You will be able to think on your feet and outside of your role, reacting quickly and positively to produce the best possible results under pressure.

This role requires a flexible and calm approach to work. The successful candidate will be approachable and have the ability to build good business relationships across the departments.
