We are looking for an experiences administrative assistant looking for a part-time role to join our small, friendly team based in Leicester. The individual must have excellent attention to detail, strong organisational and communication skills.

Key Responsibilities

Business Support

  • Supporting programmes team with administrative support
  • Supporting marketing team with general support including collating stories for newsletters, ad-hoc content writing
  • Supporting various Hub activities and programmes
  • Coordinating office/ team meetings and recording minutes/managing tasks dashboard
  • Additional support as and when required around annual conferences

Finance:

  • Membership renewal reminders, invoicing and recording /maintaining data
  • Maintaining/ recording supplier invoices and communication
  • Annual insurance renewals
  • General financial /accounting support to the accountant

Administrative Support:

  • Updating and regular maintenance of mailing list, database both on excel and share point
  • Order stationery and other goods
  • Maintain internal contact detail lists
  • General office upkeep and maintenance
  • Managing internal meetings
  • Enter/upload data, data checking and matching
  • Run straight forward reports
  • Make routine arrangements and bookings (including travel) according to set procedures
  • Attending to phone calls, responding to general enquiries

CEO Support:

  • Diary management
  • Travel arrangements
  • General administrative support

Key Selection Criteria

Skills and Qualifications

  • Educated to GCSE standard (5 GCSEs at grade C/4 or above, including English) or equivalent
  • Work experience as an administrator in a busy environment
  • Excellent IT skills including Microsoft Office, Mailchimp, Office 365
  • Experience of data input and accurate record-keeping
  • Strong organisational, record keeping and administrative skills
  • Excellent accuracy and attention to detail
  • Excellent writing and verbal communication skills
  • Good communication skills, with the ability to give and receive information effectively using a variety of methods and to communicate with a wide range of stakeholders
  • Ability both to work as a member of a team and to demonstrate independent working and initiative
  • An understanding of the importance of meeting customer needs and providing a high-quality service
  • A willingness to be flexible towards duties and adaptable to change
  • Ability to learn and use new IT systems
