About:
* Co-ordinate, process, develop and provide relevant information to enable the successful delivery of specific areas of the Property Management service within the building.
* Provide an efficient front-line service to tenants, customers, visitors and partner organisations.
* Supporting external tenants with administrative needs.
Responsibilities:
* Day to day management of specific processes including administrative, financial, IT and HR.
* Provide a friendly, efficient and welcoming reception and visitor management service.
* Place orders for stationery and kitchen supplies and maintain stock levels.
* Answer the telephone, respond to queries and transfer calls as required.
* Dealing with incoming and outgoing mail and distributing within the building daily.
* Provide an efficient, accurate customer service.
* Monitor supply and service ordering and delivery, including reactive and planned preventative maintenance, updating relevant IT systems.
* Verify and process supplier invoices for payment and raise invoices, monitor payments and resolve queries.
Skills and Experience:
* Have demonstrable experience in successfully carrying out specialist administration and financial procedures.
* Have a sound knowledge and understanding of administrative procedures and reception duties.
* Have excellent knowledge of Microsoft packages, e.g. Word, Excel, PowerPoint, Outlook etc.
* Have a professional and polite manner when dealing with colleagues and customers in person and on the telephone.
* Have good influencing and negotiating skills.
* Be a team player who is willing to share knowledge and expertise with others.
* Have basic training skills to deliver induction training and provide informal training for staff.
* Demonstrate an understanding of confidentiality and data protection requirements.
Permanent / 20hrs per week (full time available)
Location: Lowestoft
