JOB TITLE: Rental Agent /Administration
LOCATION: Hounslow, Middlesex
SALARY: £20,000 - £21,500

THE ROLE
* Ensure that the role is executed safely and in accordance with company policies and procedures.
* Ensure that our vehicles are rented out for hire in a clean and serviceable condition and fit for purpose.
* Deal with front desk operations in a polite professional and courteous manner to our customers and other members of staff.
* Answer & deal with customers enquiries, by phone, email and visitors to our offices.
* Compile rental contracts on Prohire, our current rental software, and deal with and record payments from customers.
* Ensure that the day's takings and payments are reconciled at the end of the day's business ensuring that all payments and rental contracts raised balance.
* Ensure that all records are kept up to date and in order and fleet vehicles are registered with government departments such as TFL Congestion charging and Dart Charge and ULEZ as required.
* Ensure computer spread sheets and rental software data including sharepoint is kept up to date and accurate.
* To work on a shift from the shift rota, this will include some weekend shifts and bank holidays.
* Ensure that the office is open for business in accordance with our opening hours.
* Work and liaise with other members of staff full or part time to ensure continuity of best practice in all aspects of the day to day running of the office.
* Ensure that company vehicles are serviced and maintained in accordance with agreed service intervals.
* Ensure that vehicles that have a requirement to hold a valid MOT certificate are tested in good time and accurate records of this are kept.
* Compile and analyse data from our rental system and elsewhere to provide meaningful reports in such areas as utilisation, rental trends and patterns and profitability.
* Deal with the issue of purchase orders to suppliers for goods or services up to agreed levels.
* Assist when required, in the delivery and collection of vehicles to our customers or service agents.
* Attend and prepare information for a monthly management meeting including the taking and write up of the minutes of the meeting
* To provide supervisory cover in the absence of the branch manager.

ABOUT YOU

Essential Knowledge
* Good working knowledge of the rental industry
* Literate & Numerate

Essential Skills
* Full driving licence with no serious endorsements
* Computer Literate - ideally with rental software experience in Pro-hire
* Microsoft Work & Excel skills
* Good interpersonal and organisational skills
* Attention to detail and accuracy.
* Able to balance competing priorities and meet personal targets within a fluctuating workload.
