We're a small yet entrepreneurial and ambitious transformation company - Switch On (www.switchonnow.com)  - that makes a real difference to people's lives and to building the better world we all want to see through social change and business transformation to be more sustainable, ethical and equal.

We are looking to hire someone organised, digitally-savvy, detail-oriented, empowered and enjoyable to work with to support the core operations and also growth of our business.

We deliver creative workshops, purpose-driven innovation projects, leadership programs and keynote speeches all over the world for blue-chip companies and government organizations (e.g. Intel, Unilever, NHS etc) as well as producing personal development workshops, transformation experiences, digital products, paperback books - and soon an app.

We have detailed processes for most of our standard workflows. The core role of the PA / marketing assistant will be to deliver these processes effectively and improve them over time. There will also plenty of opportunities to add creatively and entrepreneurially to new projects once the core operations are nailed.

Key Responsibilities Include:

  • Manage weekly activities / workflows for key operations; keynotes, programs, new business, events, webinars etc. Includes:
    • Manage our weekly plan
    • Liaise with clients on dates, updates, print outs, tech needs etc etc
    • Booking travel
    • Proof reading proposals and books
    • Contracts and chasing payments
    • Finding and managing freelancers using sites like peopleperhour.com etc
    • Support external experts when we have them (PR, marketing etc)
    • Posting on social media
    • Desk research for new ideas and projects
    • Basic word-processing and presentation changes
    • Set us up on client systems etc
    • Manage venue hire
    • Manage and update our templates
    • Liaise with others in the team to monitor progress
    • Supply monthly numbers in a dashboard of what we have achieved
  • Manage CRM system(s) including:
    • Ensuring contacts are up to date in terms of last contact, address etc
    • Sending out emails on behalf of the CEO / team, via software (Hubspot, Nimble)
  • Tending and caring for key clients / accounts / partnerships including
    • Posting and messing on LinkedIn
    • Sending printed books out to current and prospective clients
    • Researching future prospects
    • Sending thoughtful thank you gifts
    • Researching prospects for conferences etc
    • Manage participant needs with courteousness and positivity
    • Post on social media
    • After sales questions / issues
    • Manage our online communities - current (LinkedIn, Facebook) and new experiments like WhatsApp
  • Support the rest of the team in general including:
    • Website updates  (wordpress)
    • Updating and correcting our digital assets (PDFs etc)
    • Social media management -paid social, paid search 
    • Mange our Amazon and publishing accounts
    • Updating lead capture forms on the site

  • Good research skills and can keep and manage data

  • Can maintain strong boundaries with clients and contractors in a kind way
  • Is digitally-minded
  • Have a strong sense of what quality looks like
  • Ability to use the following systems (or learn quickly through online tutorials etc)
    • Apple Keynote, Numbers and Pages 
    • Wordpress
    • Mailing system - Campaign Monitor 
    • CRM system - Hubspot, Nimble

 The Opportunity

Key details: 

Days: 3 days/wk - 2 full days (or just within school hour) plus the rest of the time split across the week to respond to emails / clients at least once a day during business hours

Location: You can work in our small and quiet office in BN8 for c.1 day a week or more if prefered - then the rest can be done from home or cafe etc

Contracting: 6 month fixed term contract initially (with 1 month probation period) then a transition to employee status if wanted

Renumeration: £20-28K pro-rated depending on experience
