Office Manager – Part-time flexible working opportunity
Hours: 25 hours a week
Location: Dalston, London E8
Reporting to: Deputy Chief Executive
Salary: £13,715 - £14,865 (dependent on skills and experience)
Our client is looking for an experienced Office Manager, who is an excellent administrator with good communication and interpersonal skills and proven ability to plan and organise their own workload. If you are a self-starter, team player, enthusiastic, energetic, can demonstrate their values of Trust, Energy, Ambition and Motivation, and passionate about providing the back office support to enable the organisation to deliver a range of services to vision impaired children and young people we want to hear from you.

Primary Objectives
? To provide administrative support to the Deputy CEO.
? To manage the office environment to ensure that all risks are mitigated and that the environment is conducive to the Health, Safety and Wellbeing of beneficiaries, staff and visitors.
? To support the CEO in Hackney office when the CEO’s PA is not available.
Key Duties and Responsibilities
Admin support to Deputy CEO:
? Manage Deputy CEO’s diary, including room bookings, equipment and refreshments and travel arrangements where required meetings.
? Manage all communications in a discreet and confidential manner.
? Take minutes/actions at meetings, as required
? Reconcile expenses and credit card statement for Deputy CEO and ensure that all expenses and credit card statements from their direct reports are correct for authorisation
? Collate data, information from various departments and compile reports for meetings, as required by the Deputy CEO
? Manage digital and occasional hard copy filing, as required
? Provide cover in the CEO’s PA absence, as required
Office Manager duties:
? Support the FR team in the management and dissemination of the post.
? Manager stationery and other office and kitchen supplies, ensuring orders are placed in an efficient and timely manner and in accordance with procurement processes
? Handle all maintenance issues, reporting them to the school caretaker and following up to ensure that they have been actioned
? Manage the kitchen space, including production of a cleaning rota.
? Work with the Health, Safety and Wellbeing lead to ensure that health, safety and wellbeing matters are reported, managed and addressed
? Assist in managing any office moves
? Provide reception cover during school holidays ensuring that visitors and deliveries are handled efficiently and effectively
General duties:
? Promote and safeguard the welfare of all the children and young people/vulnerable adults that have contact with the organisation
? Compliance with all GDPR requirements.
? Ensure that equality and diversity principles are embedded in all responsibilities.

PERSON SPECIFICATION
Educational and Professional Qualifications
Essential:
-GCSEs or equivalent, including English and Maths.
-Administration Qualification (Level 3 or above)
Skills, Experience and Knowledge
Essential:
? Relevant administration experience in a busy office environment.
? Good communication (written and oral) and interpersonal skills, in particular the ability to deal with a wide range of people with tact and diplomacy.
? Great attention to detail & high levels of accuracy.
? High level customer service skills and a flexible approach to workload.
? Excellent telephone manner.
? Excellent planning and organisational skills with the ability to cope with simultaneous demands
? Demonstrable commitment to the developing work and a flexible approach to working hours.
Desirable
? Experience in a charity administrative role.
? Experience of facilities or office management
? Experience of working with young people with vision impairment and other additional learning needs and/or disabilities.
EMPLOYEE BENEFITS
Annual leave
27 days annual leave per calendar year, increasing to 28 days after 3 years’ service + bank holidays (all pro rata for part-time roles). Staff on term-time contracts have 10 weeks paid annual leave including public holidays.
Season ticket loan:
During probation, an interest-free loan of up to a maximum of one month’s net monthly salary will be available.
After probation, staff will be able to seek an interest-free loan for the full amount of their annual season ticket. The loan will be deducted from your salary in 12 monthly instalments
Pension
Staff are automatically enrolled into their pension scheme with Scottish Widows. The minimum employee contribution is 5% and the their contribution is 3%.
