Position Summary

This role reports to the Contracts Executive and provides the primary administrative support for the contracting process for the BLA group throughout EMEA and Latin America, including EDOCS filing, updating of relevant data bases including Hive, other internal project tracking mechanisms, the approval of music cue sheets and other administrative tasks. 

Other responsibilities include: support for the BLA team undertaking simple drafting and negotiation of music licences, acquisition amendments and renewals and similar; research to support market and business intelligence projects; preparation, analysis and presentation of data to support those projects; preparation and collation in support of the Contracts Executive of the monthly content activity reports required for the Content Committee.

Responsibilities

Administrative

 

  • track all acquisitions commissions, co-productions, talent and other agreements negotiated by the BLA team, generate Business Intelligence reports when requested;
  • scan and file all agreements concluded by the team and manage the signature process directly through to full execution;
  • liaise as necessary internally to co-ordinate the signature of contracts;
  • timely update internal systems with the status of agreements and other contractual details;
  • liaise where requested on ascertaining rights availability including researching queries in general;
  • act as a point of contact for suppliers and internal clients about late payments, and other administrative enquiries;
  • provide administrative support to the BLA Team in the absence of the departmental PA;
  • where requested, track down relevant agreements to assist the executives in their negotiation activities;
  • support the collation, preparation and submission of the monthly content reports generated for the Content Committee;
  • approve music cue sheets using the Soundmouse system and query any discrepancies.  Ensure any such queries are resolved in a timely manner.
  • undertake simple drafting and negotiation of music clearance licences with record companies and publishers;
  • working with the BLA executives, draft and prepare simple amendment letters, renewal agreements;
  • support business and market intelligence projects with research, analysis and presentation of data;
  • review agreements where requested to provide a simple outline of their content.
  • support the BLA Team in the absence of the Contracts Executive
