Job description

The Maritime and Coastguard Agency (MCA) are looking for an Estates and Computer Aided Facility Management Support to join their busy Estates team.

You will assist the MCA Estate Team in the implementation of the Computer Aided Facilities Management Package (CAFM) which will involve ensuring the compliance and input of all legal statutory documentation and information.

This is an exciting opportunity to work alongside the Head of Estates Projects Manager and be involved in a range of projects whilst assisting in the maintenance and refurbishment work to the wider Estate.
 

Responsibilities

The role responsibilities include:

• Liaising with property consultants and the Total Facility Management (TFM) provider to obtain site specific information
• Cleansing and taking responsibility for the inputting of all data and information into the CAFM system
• Running Reports from the CAFM to assist the MCA in checking all legal compliance is up to date
• Working with the Compliance Officer to ensure all MCA properties are legally compliant
• Maintain records of maintenance works undertaken across the MCA Estate
• Completion of Request to Purchase (RTP) paperwork, ensuring corporate governance
• Upload and track purchases through the Aggresso Business World (ABW) finance package

One week in four is likely to be travelling in the UK, some of which will be to geographically dispersed locations. These can sometimes be at short notice (not weekends), and are highly likely to include overnight stays.

About you

We are looking for someone who is a natural communicator with excellent verbal and written skills and can express themselves confidently and concisely. You will represent the Agency in a professional and clear manner, ensuring key messages are delivered to both internal and external stakeholders in a timely manner.

Excellent organisational skills are required and you will have the ability to manage and filter workflow. You will organise and prioritise your work to maximise productivity and achieve all deadlines whilst being highly adaptable and flexible, adjusting to the requirements of the role.

You will be someone who naturally enjoys working collaboratively with different business areas and likes the challenge of influencing others to achieve business outcomes. You can build rapport quickly with both internal and external stakeholders which enables you to create solid working relationships. Through this you will be able to capture, assess, and meet the needs of your stakeholders.

We require someone with experience of budgeting and cost management who can estimate costs, produce budgeting forecasts, and control actual spend against budget. You will be highly capable in the use of Microsoft Excel to manage project budgets.

The Maritime and Coastguard Agency (MCA) is an executive agency of the United Kingdom working to prevent the loss of lives at sea and is responsible for implementing British and international maritime law and safety policy. It is also responsible for land based search and rescue helicopter operations from 2015.
