Job description

The Business Support Officer works closely with and under the direction of the Marine Office Business Support Manager to ensure that Marine Office Business Support is aligned with Survey and Inspection priorities. Maintaining consistency in approach to Business Support within the Marine Office.

The Business Support Officers role is to provide general administrative support within the Marine Office - including telephone answering, filing, photocopying and other ad-hoc duties as directed by Line Management.
 

Responsibilities

Responsibilities include, but are not limited to:

• Provide the day to day support to the Marine Office Technical Manager (TM) and Surveyors, including those Surveyors operating remotely [i.e. administrative processes involving BMLs, Pelorus deficiencies, Monthly Reports etc.]. Maintain paperwork and records (including registered files) required by Surveyors prior to, and after survey/Inspection ensuring appropriate systems are updated (i.e. Thetis/Pelorus).

• Assist with the day to day bookings of survey applications taking account of Surveyor eligibility requirements and availability for job allocation. Liaise with the Business Support Manager (BSM) and Business Manager (BM) [and DUKSR as and when required] about surveyor allocation. Assist with the booking of UK and Overseas travel arrangements for Surveyors. Maintain Surveyor eligibility records.

• Assist with exam bookings.

• Interrogate Thetis on a daily basis, advising BSM/ BM / TM/ Surveyors as necessary.

• Maintain PPE, H&S and other procedures for the Marine Office as delegated by the BSM/BM.

• Assist the BSM in preparing monthly reporting process paperwork for consideration by the Marine Office (BM), to include National/Local Activity monitoring and other statistics (including service standards). Report to the BM as soon as immediately practicable, any identified risks that occur within the Marine Office.

• Assist with internal and external Audit preparation. Follow up on NCN's etc as directed by BSM and BM. Maintain up to date and accurate records in agreed format(s) in support of ISO accreditation.

• Provide general advice to industry and public in accordance with MCA policies, including Marine Office public counter service.

• As and when requested by BM/BSM, provide business support assistance to Regulatory & Compliance Investigations Team (RCIT), in dealing with any complex investigations and offences committed, leading to court proceedings and prosecution within the UK area covered by the Marine Office.

• Provide Administrative Business Support (including telephone answering, filing and post duties) and Secretariat duties to the Marine Office for internal/external meetings.

You will be confident using Microsoft Office Software and can learn new systems when required.
