Our exciting business is looking to recruit a Team Administrator to join our office in Inverness. This position is a part time role working 30 hours per week.

As the Team Administrator you would be required to use a variety of office equipment and technology as required including both PC and tablets, the role would require you to liaise stakeholders at levels. You would support your team by providing a comprehensive administration service and support the training estate.

What you know

* General admin functions - Use a variety of office equipment and technology as required including both PC and tablets, paper-based systems, multi media centre, laminators, etc, using bespoke software and web-based information systems.

* Knowledge of raising Purchase Orders and receipting of invoices.

* Knowledge of raising & closing Work Orders.

* Stationary accounting.

* Knowledge of implement and maintain effective information storage retrieval systems, both paper based and electronic.

* How to update and maintain information databases and produce reports, as directed, from these databases.

* Ability to operate office equipment effectively

* Computer literate and able to use Microsoft Word to a high standard.

* A good level of numeracy and literacy gained through a Level 2 qualification such as a G.C.S.E. grade A-C or equivalent and proven experience.

What you can do

* Be proficient in general admin functions within an office environment to include, but not restricted to diary management, auditing records, meeting note taker, producing agendas and meeting minutes, raising work orders and purchase orders, fleet management, stationary accounting.

* Maintaining a high level of housekeeping within the office whilst completing archiving duties.

* Transferrable skills for raising Purchase Orders and raising/closing Work Orders.

* Professional telephone manner, making enquires, taking messages and relaying to the appropriate team member in a timely fashion.

* Demonstrate proven track record of achieving objectives to set standards and timeframes.

* Ability to follow processes within time constraints.

* Ability to use bespoke and off the shelf software packages.

* Managing fleet for the site

* Completing end of month fuel returns.

* Collect and distribute the mail across the site. Arrange for mail to be posted either via postage or courier.

* To administer all unit publications (such as Air Publications), recording all issue on loan cards, record and progress publication demands, issue amendments upon receipt and circulate newsletters and magazines upon receipt.

* Liaise and communicate effectively with all stakeholders to ensure effective contract delivery

* Manning of the front gate and acting as the front of house point of contact, making sure visitors are greeted and signed in.

* To ensure that the Training Estate Facilities adhere to safe systems of work e.g. reporting defects, report and deal with unauthorised persons on the Training Area Estate.

* Be prepared to support other Team administrators across the Region with occasional site visits.

* To support the efficient processing of bids for training facilities and activities on the Bidding and Allocation Management System (BAMS), including related booking enquiries.

* Undertake general team admin support duties for other departments as requested by your line manager.

* Any other appropriate duties that are within the skills range of your grade.

* Must have a clean full driving licence.
