Hours: - Part Time, Mon-Fri, 13.00-17.30, 22.5hrs

Our client busy Reading office house most of the central functioning departments such as IT, HR and Finance. They have 7 client meeting rooms onsite which can hold over 70 attendees. It's a busy and dynamic role which requires someone with a good degree of common sense as well as a positive and hardworking attitude. Reception also manages our busy post room, receiving and sending out hundreds of letters each week. This role is a job share with the morning and afternoon receptionists are working closely together.

The role:

Reception

Answer incoming phone calls and route to correct extension.
Admitting visitors, signing them in and notifying the meeting host.
Act as host for meetings, preparing drinks, taking coats and assisting guests.
Laying out refreshments for meetings as well as clearing away crockery and lunches.
Ordering external catering for meetings.
Issuing building access cards, permanent and visitor - management of the office security pass system.
Liaising with external cleaners.
Manage and allocate parking spaces.Post Room

Sort incoming post into departments, notifying departments that it is ready for collection.
Frank outgoing post brought to mail room by department staff.
Arranging couriers. This will involve some manual handling.
Deal with incoming and outgoing archiving, forwarding files to XPS regional offices. This will involve some manual handling.
Managing stock levels and ordering office stationeryAdministrative Support

Assist in general secretarial duties including printing, scanning, copying, filing and letter stuffing.
Good knowledge of Microsoft Office package.
Ordering stationery.
Working closely with the rest of the support team as well as providing cover for other departments as necessary to ensure the smooth running of the office.The person:

Good knowledge of Microsoft Office software.
Flexible and able to adapt to changing environments.
Excellent organisational skills. Ability to multi task and work in periods of calm and high activity.
Good common sense.
Diplomatic and friendly.
Ability to communicate exceptionally well; a high standard of written and spoken English.
Must be proactive and take initiative.
Must be willing to learn, flexible and a team player.Desirable
