An opportunity has arisen for a Finance Officer to work at Wetherby Kensington School an independent school based in south west London and part of the Alpha Plus Group, one of the largest privately-owned school groups in the UK owning 20 schools and colleges including some of London's finest Prep and Pre-Prep schools.

Wetherby Kensington opened in September 2017 and is a two form, non-selective pre-preparatory school for boys from Reception to Year 3. It follows the same curriculum and shares the same values and ethos as Wetherby School, offering the same high levels of academic education and pastoral care. The school prepares boys for onward progression to top prep schools including Wetherby Preparatory School.

We are looking for a career minded and enthusiastic Finance Officer to work in our busy school. This will be a permanent, part-time, term-time plus position (39 weeks per year). The contracted hours will be from 8.00am until 4:00pm or 8:30am until 4:30pm, four days a week.

The role requires a committed and efficient administrator who has proven accounting experience. They must have excellent people skills as well as ensuring that the financial elements of the school run smoothly; that all fees are paid on time; and that all costs are cross referenced to relevant budgets. They must have a good knowledge of Microsoft Office packages. Experience of working with SIMS and in the education sector is desirable.

The part-time Finance Officer will be line managed by the Head and work closely with the Finance Department at Alpha Plus Head Office in terms of processes and training.

First round interviews will be held on the 1st February.

Job Description

1) Introduction

The post holder will be a member of the staff at Wetherby Kensington and will hold responsibility for the finances of the school as delegated by the Headmistress. He / she will work alongside the Headmistress' PA and school Registrar to ensure the smooth running of the school office.

2) Main Responsibilities

  • Complete monthly bank reconciliation as per Head Office timetable
  • Check online bank statements on a daily basis
  • Invoice termly fees plus music tuition
  • Invoice Reception deposits
  • Fees Ledger Maintenance: update fees ledger, update leavers information, change of address, bank details
  • Direct Debits: set up direct debits on SIMS and process termly payments
  • Aged Debtors: print out updated list and chase outstanding fees by phone, e-mail and letter
  • Purchase ledger invoices: assign nominal ledger code, present for authorisation to Head, forward to Head office for processing, record costs on budget sheets
  • Personal Expenses: assist staff with preparation of claim form, record costs on budget sheets
  • Credit Card Expenses: match receipts to monthly statement, record costs on budget sheets
  • Petty Cash: maintain and reconcile petty cash
  • Salaries: prepare monthly salary sheet
  • Banking: day-to-day banking of cheques and cash, posting receipts to SIMS
  • Orders: order and maintain office stationery and staff supplies. Unpack and distribute orders when necessary
  • ParentPay: keep track of payments, load charges, send activation letter to parents and send ParentPay breakdowns to Head Office
  • Maintain contact with Head Office: liaise regarding finance, property matters, provide information as required by Head Office for reporting and audits, attend occasional administrator and finance officer meetings

3) Day to day

  • Answer main school telephone, screen and direct calls
  • Respond to external and internal parental enquiries either in person or by phone or by e-mail, including matters relating to finance
  • Administer first aid to boys
  • Answer the door to visitors and suppliers
  • Greet and welcome all people entering the school, ensuring all sign in / wear badges
  • Relay messages to staff, parents and the Headmistress
  • Read and respond to emails
  • Respond to parental enquiries either in person or by phone or by e-mail
  • Respond to e-mails throughout the day
  • Note answerphone messages
  • Relay messages to staff, parents and Headmistress
  • Attend Alpha Plus training sessions as required
  • Attend any formal or informal school events outside of school hours as required by the Headmistress
  • Provide assistance when requested in order to ensure the smooth running of the administrative team
  • Devise and maintain office systems, including data management and filing
  • Occasional supervision of the boys at Stanhope Gardens
  • Occasional supervision of boys when walking to and from the coach

4) Registration

  • Liaise with the Registrar and Headmistress at Wetherby Kensington and the Registrar at Wetherby School regarding registrations and admissions

5) Other Duties

  • Prepare and send monthly data to Head Office
  • Ensure medication forms are signed by parents and filed in the school office
  • Attend Alpha Plus training sessions as required
  • Meet and greet on parents consultation evenings and other occasions as deemed necessary by the Headmistress
  • Ensure that reasonable care is taken at all times for the health, safety and welfare of yourself and others and to comply with the policies and procedures relating to health and safety
  • Support and encourage the school's ethos and its objectives, policies and procedures
  • Uphold the school's policy in respect of child protection and safeguarding matters
