Do you have administration experience within a school environment? We are looking for a Administrator to support our academy in the smooth running of our Sixth Form Department and wider academy.

Main Areas of Responsibility

Operational Duties

  • To support the work of Sixth Form Management Team with regards to student attendance and all that this entails.
  • To offer pastoral care to Sixth Form students and to implement the school policies on discipline and behaviour in relation to these students
  • To contribute to raising the attainment of students in the Sixth Form by delivering a robust but caring support system
  • To oversee study periods to ensure students are using their time effectively and offer advice and support where needed
  • To work closely with students, parents and the management team to ensure students are monitored and intervention is put in place where needed
  • To act as a learning and behaviour mentor to students who are in need of extra support in order to meet their target grade and the expectations of the sixth form in relation to attitude to learning
  • To assist the Sixth Form Assistant Principal with the management and analysis of Sixth Form lates and the Academy sanction system
  • To be responsible for recording and monitoring student attendance/punctuality to the Academy and lessons

Specific Responsibilities

  • Work alongside the Sixth Form Assistant Principal to ensure day-to-day pastoral care is implemented for identified students
  • Oversee independent learning in the sixth form study base
  • To deal with the day-to-day operational issues associated with students, e.g. incorrect uniform and attendance/punctuality information.
  • To liaise with colleagues in school to organise additional support for students when necessary
  • To attend Sixth Form meetings, Open Evenings and Exam Results Days
  • To discuss disciplinary incidents with students, parents and colleagues and monitor students on report
  • To maintain paperwork and electronic records in relation to students where necessary
  • To ensure all registers are taken and student attendance/punctuality are accurately recorded
  • To send letters home and make telephone calls to parents to enquire about absences/poor punctuality
  • To meet with parents and students when there are concerns about attendance/punctuality
  • To produce attendance/punctuality reports for the Head of Sixth Form
  • To oversee attendance and punctuality student reports
  • To be responsible for all students' files and records and ensure filing is completed on a daily basis
  • To support the Sixth Form Team with communication to parents (letters/telephone calls)
  • To support the behaviour system with overseeing the community service sanctions

Communications

  • To communicate effectively with the parents / carers of students as appropriate.
  • Where appropriate, to communicate and co-operate with persons or bodies outside the Academy.
  • To follow agreed policies for communications in the Academy.

Marketing and Liaison

  • To take part in marketing and liaison activities such as Open Evenings, Parents' Evenings and liaison events with partner schools.
  • To contribute to the development of effective subject links with external agencies.

Qualifications & Experience

  • Level 3 Qualifications
  • English + Maths + 3 other GCSEs at C or higher
  • Previous experience in working in schools
  • High quality ICT skills (and a willingness to undertake training when required) used to promote effective administration, organisation, communication and management
  • Excellent organisational and administrative skills, with attention to detail
  • The ability to quickly gain and maintain credibility and rapport with managers and staff across the School
  • Good telephone manner and presentation of professional image
  • Good organisational & interpersonal skills which indicate a warm, efficient and hospitable manner to all
  • Excellent listening and communication skills and sensitivity in complex situations
