At Frontier, we have dedicated teams that provide support to our economists, working across our London and European offices. These teams form our Business Management Team (BMT) and include Facilities, Practice Co-ordination, IT, Clients, People and Finance.  

 

We are currently looking for an experienced individual to join Frontier as a Personal Assistant Team Lead (initial 18 month maternity cover with opportunity to turn permanent). They will be based in our London office but the team is spread across all of our European offices. The Practice Co-ordination Team is made up of c.25 x Executive Assistants (EAs) and Personal Assistants (PAs) who are responsible for providing high level business support across all offices and practices.

 

The successful candidate will initially work side by side with the current Team Lead, with oversight of the team until July 2022, when the current role holder will take maternity leave.  The phased approach of having some side by side working will allow the new Team Lead to adapt to the team and eventually manage the entire team for approx. 12 months.  

 

This role will initially report to the current Team Lead, before then reporting to the Director of Facilities when the maternity leave starts.  

 

Team Leadership: 

 

  • Direct line management for the whole team of c.25 x Executive Assistants (EAs) and Personal Assistants(Pas) across different offices and practices;
  • Conducting regular catch ups with direct reports, offering professional and personal support, gaining a good understanding of their role, workload and objectives and training needs; 
  • Liaising with senior management across offices and practices to understand requirements and expectations for the team;
  • Reacting quickly and professionally to resolve any internal issues that may arise, updating relevant Senior Management (including the Director of Facilities) and Mentors;
  • Lead the bi-monthly Team Meetings, suggesting ideas and leading agenda items, making sure the meeting is informative as well as collaborative;
  • Ensuring that there is adequate cover during holiday and sickness absence and that any leave taken is appropriately recorded;
  • Communicating management messages accurately and positively in support of the firm’s values and policies;
  • Suggesting and implementing changes to team working practices to improve efficiency within the firm; 
  • Supporting the work-life balance of the team by being observant about changes in work-patterns or behaviour. Helping to ensure sensible and fair work distribution across the team by taking action when there are signs of over-load, or under-utilisation;
  • Reviewing the people plan for the team, drafting business cases for additional staffing requirements including at Business Planning time;
  • Working closely with the Director of Facilities to help with the overflow of their work, as and when needed, and to ensure she has oversight of key issues within the team;
  • Creating a fun and motivating work environment. Bringing the team together regularly, celebrating successes, creating a culture of team work and collaboration

 

Talent Management: 

 

  • Speaking regularly with the Mentors of the EAs/PAs, as well as seniors within practices/offices to ensure a joined up approach in terms of development for the team; 
  • Leading Career Development Round (CDR) conversations for the team alongside Mentors and explaining outcomes in a clear, open and constructive way, including drafting performance review paragraphs; 
  • Setting annual objectives with direct reports within the team alongside Mentors and revisiting them across the year to ensure they remain relevant; 
  • Identifying training needs across the team and working with Learning and Development to suggest training courses or conferences (as appropriate) and create a yearly plan; 
  • Leading on recruitment including drafting job descriptions, interviews, offers and onboarding.

Essential skills and experience

  • Proven experience of managing a large team;
  • Experience of training other team members with a capability of identifying development points;
  • Excellent communication skills and the ability to adapt style based on audience;
  • Experience of leading pay and bonus outcome conversations;
  • Strong interpersonal skills – approachable, shows empathy and builds trust with others, exercises good judgment, creates a culture of collaboration and positivity.
  • Ability to ‘think outside of the box’ and go beyond their role in support of broader business needs
  • Ability to work under pressure in a fast paced environment;
  • A problem solver who remains calm and effective under pressure.

 

Desirable skills and experience

  • Management of a team across multiple locations;
  • Previous PA or EA experience in a professional services company (and therefore able to relate with issues within the team at Frontier)
