My client based in central Epsom are recruiting for a part-time Contracts Co-ordinator to join the team on a permanent basis to support to both the sales and finance functions of the company and reporting to the FD.
Typical tasks associated with the role include:
- Contracts (create candidate and client side, chase return of contracts, initial point of contact for queries, purchase order reconciliations, candidate references, quality surveys)
- Maintain library of all client framework agreements/contracts
- Maintain library of client-specific versions of the contracts and record variations from master.
- Liaise with FD on changes to master contracts due to legislation changes and ensure latest versions are implemented.
- Compliance: ensuring that all required documents, such as passports/work permits, proof of bank account, etc. are collected and stored on system; ensuring that contractor has entered all required information on system. Tracking and chasing any outstanding documentation/details.
- Timesheets (initial contact for queries on the online timesheet system, set up of users)
- Assistance with pay/bill processes (peak periods and holiday/sickness cover)
- Liaise with umbrella companies on PSL and assist with regular compliance checks.
- Ensure all IR35/compliance-related documentation, (e.g. client Status Determination Statements, AWR forms, Key Information Documents) has been received, assessed and correctly stored.
- Ongoing archiving of all contract-related documents in case of system failure/change.
- Ad hoc tasks as required by the directors
This role would suit someone with experience of administration and MS Office (Excel and PowerPoint in particular) who is a self-starter with a keen eye for detail.
Experience of contracts administration and/or a recruitment company background would be advantageous but neither are essential.
You will need to have good written English skills and good arithmetical skills (e.g. percentages and averages).
Hours: It is envisaged that this role will take 2.5 to 3 days per week. This can either be done over 3 days (ideally Tuesday, Thursday, Friday to fit with other employee covering contract production) or possibly on 5 half days per week.
Salary: GBP28,000-GBP30,000 pro rata
