To assist in the smooth running of the department by ensuring that a comprehensive professional HR, Payroll and Benefits service is provided to our clients and that we add value to the business objectives of the Group. A broad remit, in a pro-active, service-delivery focused role that together with the HR Administrator and HR Assistant, supports the Head of HR and the HR Business Partner's.
Key Responsibilities & Accountabilities:
Recruitment
- Support the team with co-ordination of the smooth administration of recruitment requirements through the given method of selection e.g. agencies, press, direct
- Maintain recruitment trackers, including tracking speculative candidates
- Co-ordinate diaries, booking interviews and rooms as appropriate
- Complete job description templates for authorisation
- Draft offer letters and contracts of employment for authorisation
- Issue new joiner correspondence upon confirmation of start date
- Arrange the provision of temporary cover as and when required
On / Off-boarding
- Initiate starter and leaver processes with the HR management system
- Prepare new employee files and induction packs in time for start dates
- Organise and conduct HR induction session for new employees
- Update the Starter and Leaver Matrix with accurate employee details, following up on missing documentation accordingly
- Keep records, filing and archiving up to date, both on HR management system and in personnel/other paper files
- Update the SMS disaster recovery system
- Liaise with the benefit intermediaries to ensure all starter and leaver information is accurately administered
- Notify the HR Business Partner if new employees have not completed mandatory e-learning modules within their first 6 weeks of employment
- Draft probation letters as agreed with the HR Business Partner
Learning & Development
- Maintain accurate training records on the HR management system to ensure adherence to regulatory requirements
- Arrange and co-ordinate work placement programmes
- support the HR team with the arrangement of training needs for the Company
Additional Responsibilities
- Maintain and update the employee handbook, letter templates, organisation charts and People sections of the intranet
- Assist in the development and implementation of HR initiatives as required
- Provide assistance in other areas of the Company’s business as may be required
- Arrange authorisation and completion of other references (e.g. mortgage), as required
- Adhere to company and regulatory policies, procedures together with mandatory training requirements
- Adhere to financial reporting requirements including monthly phasing of income (where relevant to role)
Functional & Behavioural Competencies required:
- Education & Knowledge Required:
- 5 GCSEs Grade C or above (or equivalent) including Maths & English
- Strong practical application of the Microsoft office suite
- Manages a range of tasks but maintains focus on deadlines and priorities
