Job type: Part-time Administrative Assistant
Salary: GBP24,838-GBP27,455 per annum (pro rata)
Location: West London
An excellent opportunity has arisen within a public research university based in West London. This is a part-time administrative assistant position to start as soon as possible. It will be a fixed term contract for 6 months working 21 hours per week, Tuesday-Thursday. The purpose of this role is to provide comprehensive administration support to the EA to the Deputy Vice-Chancellor and Provost. This will suit someone who has office experience and would like to pursue a career in university administration.
Main duties & responsibilities include:
Assist the EA with administration duties including diary management, meetings & travel arranging
Provide PA and administrative support for the Deputy Vice-Chancellor and Provost and the wider team
Prepare meeting documents
Process expense claims credit card statements, purchase orders & payments
Manage incoming mail
Answer telephone and visitor enquiries in a professional & courteous manner
Book meeting rooms and manage hospitality
Assist with arrangements for College events and meetings
Assist in the coordination of international academic visits
Assist with interview panels
Person Specification:
Educated to A level or equivalent standard or experience
Proven track record of administration experience in a busy customer focused environment
Experience of using systems such as Agresso, Microsoft Office and Dropbox
Experience of managing complex diary commitments for senior staff using electronic calendars
Very numerate
Excellent interpersonal skills
Ability to manage a busy workload
Ability to multi-task
Self-motivated
Experience of handling difficult & sensitive situations
Experience of working with senior management
Experience or working in Higher Education
Benefits include:
Pension (the College will contribute a sum equal to 19% of your salary while you pay 6%)
