Key Responsibilities:
Complex Diary management -
Email management -
Capable to take formulate emails and respond on behalf of the COO where necessary
To plan meeting agendas and pre-meetings to ensure the COO is fully prepared
Assist with adhoc personal admin tasks on behalf of the COO, including sending gifts and thank yous to team members, diarising holiday dates and other adhoc tasks
Arranging travel, transfers, parking, visas, vaccinations, accommodation and itineraries for the COO, on behalf of members of the team at the COO's request (specifically Head of Social Impact and Sustainability).
Book venues for meetings and social events, arrange lunches, compile team lists including attendance, allergies, preferences etc
Ensure COO Team meeting is organised regularly and in advance, with agendas created in a timely way and followed up on
Ensure all expenses and invoices are accounted for and authorised accurately and on time.
To ensure the effective organisation and management of all applicable functional forums whether in UK or overseas (from delegate travel and venue hire to gifting and entertainment)
Responsible for the co-ordination and pulling together of materials/presentations to take to Director Board meetings
To welcome visitors, book meeting rooms and to liaise on meeting requirements
On boarding new members of the team and looking after arrangements for leavers
Ad-hoc administrative tasks
Process invoice approvals for suppliers and contractors on behalf of the COO and the wider team
Liaise with internal and external contacts on behalf of the COO
Support the wider Group Leadership Team on an ad-hoc basis
Constantly looking to improve processes and procedures
To work as a team with the other PA's, to create an efficient, inclusive and collaborative environment

Role Requirements:
Previous experience in a PA or EA role to a Senior Executive
Ability to deal with highly confidential information with absolute discretion and in a professional, trustworthy manner
Ability to work on own initiative and prioritise is essential, and comfortable working alone occasionally when the team are travelling
Ability to respond assertively when required
Demonstrates integrity and credibility with all individuals
Experience of complex diary management
Experience of complex travel arrangement
Natural team worker and personable, with great relationship building skills
Good communication, written and telephone skills essential
Advanced IT skills - full use of Microsoft office suite plus ability to manage simple sharing platforms
Accurate proof reading skills
Great organisational skills
Ability to respond assertively when required
Adaptability and flexibility essential
Willingness to travel internationally intermittently to organise and support global meetings preferred but not essential
