Amazing opportunity to join our Retirement line of business as an Administration Assistant in Leeds! 

To provide full secretarial and administrative support to a number of Consultants based in a modern, open plan office in Leeds.

The successful applicant will possess good IT and communication skills and be capable of working both independently and as part of a team. Experience in a Professional Services environment would be a distinct advantage as it would represent an excellent background for the role.

The Role

General secretarial and administrative support including, but not limited to:

  • acting as first point of contact in Consultant’s absence for agreed clients and client team 
  • controlling diaries and meeting co-ordination, using MS Outlook
  • proactively organising business travel as required 
  • processing expense claims for Consultants
  • project support (implementing project set up, supporting the contracting and invoicing process in accordance with the appropriate procedures)
  • records management (electronic and paper) to the standards required to pass an external audit 
  • using Willis Towers Watson systems, ie intranet, timesheet, client relationship database
  • producing typed documents to a high standard using MS Office packages, adhering to housestyle from either written copy or audio tapes
  • acting as minute taker at meetings, where necessary
  • undertaking filing/archiving as required
  • acting as a member of the business support specialist team, carrying out team duties such as morning post rota and meeting visitors as required
  • proactively supporting the billing process, working with the billing team and Consultants to ensure invoices are sent to clients in good time and submitted to the global invoice control centre
  • building effective working relationships with Consultants
  • ensuring clients’ queries are dealt with, demonstrating the highest standards of professional excellence, to agreed timescales.

The Requirements

Technical Skills

 

 

  • advanced understanding of the Microsoft Office suite (i.e. Word, PowerPoint, Excel, Outlook)
  • good command of the English language, spelling and grammar; good level of numeracy
  • typing/data entry efficiency.
