Commodities and Global Markets is looking to hire an Executive Assistant in Cash Equities who will play a key role in supporting the Head of European Equity Sales and team, Head of Program Trading and team and work closely with the other Executive Assistants.

This is an excellent opportunity for an experienced Executive Assistant who is looking for additional responsibilities and the potential to develop their career. This is a fast paced role requiring a positive, confident and proactive approach for someone who can work productively in a pressurised environment.

You will utilise your extensive diary management experience, including arranging both internal and external meetings, video conferences, WebEx meetings and conference calls. In addition, you will have regular interactions with other assistants (internal and external companies) including coordinating conference calls with international offices and managing different time zones. You will be skilled at booking extensive and complex business travel and accommodation, visas, meeting rooms, conference calls, restaurants and have the ability to answer all calls in a professional and timely manner, passing on messages to the team. Additionally, you will be required to complete out-of-pocket expense claims, manage print room tasks and gather documents for meetings.

Further administrative tasks will include paying and raising invoices, entering contacts, preparing for client meetings and entering meeting notes into our CRM. Lastly, you will assist senior staff members who visit the London office as well as manage event planning for both internal and external functions.

You will bring a proven track record in providing Executive Assistant support within the Financial Services, preferably having supported large teams within a front office environment, a proactive approach with the ability to prioritise tasks, and the ability to work well under pressure, managing your workload and deadlines effectively. You will also possess comprehensive PC skills, including intermediate Word, Outlook, Excel and PowerPoint, as well as outstanding organisational skills with an excellent eye for detail.

You will be resourceful, be able to work independently as well as within a team and thrive in a dynamic business where accuracy, hard work and flexibility are imperative. You will also have excellent verbal and written communication skills and be able to exercise appropriate judgment and discretion, especially when handling confidential information and when working with various personality types.
