About the Role

We are looking for a Personal Assistant to perform a variety of administrative tasks and support the Investors in People senior leadership team.  The role will be predominantly office-based and you will be responsible for organising and offering proactive support to the CEO along with some additional responsibilities supporting the full senior Leadership team.  You will contribute to the efficiency of our business by providing personalised and timely support to leadership team members.

Areas of Responsibility

As the Personal Assistant to the Executive team, you will be proactive and will enable you to ensure the management team are well supported and delivering in their key roles.

Diary Management – To be responsible for the complex diary management for the CEO and the senior leadership team. Including arranging and organising Executive team meetings, Client meetings, External speaking for leadership team members.

Communication and Correspondence – Organising the CEO’s inbox management, replying, prioritising and flagging emails for the CEO. Managing written correspondence and phone calls for the CEO and providing ad hoc administrative support to the leadership team.

Meeting Management – Overseeing the creation of information packs for board meetings, preparatory reading for meetings for the CEO and other documents, including their formatting, printing, binding, distribution to meeting attendees and filing of business records.

Travel and Events – Creating detailed travel itineraries for the CEO and senior leadership team. Organising meetings, including booking venues, ordering refreshments and basic minute-taking. Collating, filing and processing of expenses for the CEO and senior team. Arranging social events for both clients and the team

Cover and Support – To be responsible for updating the CRM with details of leadership meetings with key contacts and clients and providing cover for leave and sickness to IIP support desk - answering queries coming into IIP support email/phone line.

 

Skills and Experience

Communication skills - You have excellent verbal and written communication and an ability to convey complex information to a variety of audiences. You will have excellent interpersonal skills, need the ability to work under your initiative and be focused and responsive.

Organised and Analytical – You have exceptional organising, time management and planning skills for dealing with the competing demands of this role. You naturally seek to structure information and ensure the leadership team has the available time and information to make decisions.  You have great attention to detail and able to evaluate information, have good decision quality on the action needed, and follow-up on issues.

Confidentially – You can quickly build trusted relationships across the business and be able to deal with the corporately sensitive information with confidentiality and discretion.

Working at pace – You thrive working in a fast-paced environment.  You have a strong sense of urgency and an ability to meet changing priorities and demanding timescales to ensure that business critical decisions are managed in a professional, timely and structured manner.

IT skills - You are competent and adept at dealing with office software and good at picking up ways of working on systems you may not have used before.

Qualifications - Educated to A-Level standard or equivalent. A degree-level qualification would be advantageous but is by no means essential.
