Our clients, a fast growing European financial advisory company are looking for an Executive Assistant / Office Manager to assist in playing a critical role with supporting the company through its continuous growth.
This position will be reporting directly inot the partners and will be a hands-on role. The successful candidate will be a participative team member offering support across numerous areas such as: administration, EA support to the partners, HR, Marketing, Finance and Office management.
This is an exciting opportunity for Executive Assistant / Office Manager looking to take on more responsibilities outside the usual EA remit.
Main Responsibilities:
Support / Admin
* Extensive diary management including International travel arrangements, Restaurant, event booking
* Liaison with personal tax and legal advisors
* Maintaining accurate Expense records
Office Management
* Organisation of the London office day-to-day including: supplies, mail, premises, maintenance, Seeking new office space for purchase
* Maintains strong relationships with external suppliers, vendors, building management, Negotiates local supplier contracts
* Purchasing office supplies whilst keeping within budget
* Maintaining organised and controlled filing system (digital and physical)
HR
* Review bonuses for coherence, liaise with Hhead-hunters to gather market insight
* Examine employee benefits package
* Implement 360 review process
* Implement Long Term Incentive Plan for full team
* Examine employee benefits package, maintain accurate annual Leave, sick records etc
Accounting Support
* Raising and issuing client invoices
* Credit control, Credit card reconciliation, checking and paying supplier invoices
* Making regular payments such as rent and salaries
* Collating and validating new starters, leavers and employment changes for monthly payroll
* Preparation for quarterly closing for external accountants
Marketing
* Draft quarterly newsletter with help of team
* Update website/ corporate linkedin profiles
* Spearhead and implement CRM system
Skills and Qualifications
* Another European language is beneficial, especially French but also could be Italian, and German.
* 5 + years’ experience in similar role.
* Focus on Bookkeeping & Accounting, strong numerical skills, precise with numbers, meticulous and well organised.
* Strong attention to detail.
* Ability to maintain confidentiality and sensitive information.
* Adaptable, focused and efficient.
* Creative approach to problem solving.
* Autonomous, reliable, responsible and able to perform well under pressure.
* Resilient (environment can be challenging due to Industry).
* Positive “can-do” attitude (we are a small team so need someone willing to get stuck in with all tasks).
Renumeration
Base salary dependant on experience
Discretionary Bonus
25 Days Holiday + Public holidays
Could be part time position (4 days per week)
