Our client is the world's largest independent integrated healthcare technology management provider, with more than 1.4 million medical devices under management in more than 1,700 healthcare facilities in 18 countries.
They are looking for a part-time Office Administrator to provide administrative support and comprehensive office management, to all aspects of the company service.
The role holder will support the on-site team in providing an efficient, effective and all-embracing Medical Engineering service and is required to carry out various administrative duties pertaining the overall running of the Dept.
This position requires a reasonable level of fitness as some manual handling duties are involved.
Key Responsibilities:
* Provide administrative services to the team.
* Data entry into various computer applications/databases including Equip/Epod (training provided). Scanning and maintenance of engineer’s documents.
* Purchase order co-ordination
* Assist with the management and administration of orders, track deliveries
* Assist with the receipt of all incoming repairs and requests.
* Management of both goods in and out.
* Carry out general administration following department policies and work procedures
* Maintenance of department electronic filing systems
* To liaise and co-ordinate with external customers, companies and other organisations in relation to the Service.
* Ensure Department stock levels and other miscellaneous office items are kept stocked.
* Undertake any other reasonable administrative duties as and when required by the service Manager
* Attend professional and other training courses, as requested.
* Ensure compliance with all departmental operating and administrative policies and procedures.
* Support of the organisation’s continuous improvement programme
* Investigate thoroughly and satisfactorily resolve product, service or supplier complaints received from customers e.g. deliveries and invoices.
* Communicate effectively with all levels of staff through exchanges of information via electronic and other means.
* Identify, discuss and participate in own development and training activities relevant to the post.
Key Skills/Experience:
* High level of Computer literacy (Windows) to include Microsoft Office skills
* Able to produce good reports/spreadsheets
* Previous database administration experience
* NVQ in Business Administration - Desirable
