About us:

We are a well-established and dynamic estate/lettings agency located in South-West London. Having substantially secured our position in the lettings market, we seek a professional part-time property administrator to join our team. We are looking for someone to bring their outstanding organisational skills, and most importantly a positive attitude to our friendly team. Property industry experience would be ideal but we would be happy to consider candidates with a proven track record of solid admin work in another sector. 


The hours for the role would be 10am-4pm Monday to Friday for the 
candidate (happy to tweak slightly if need be).


About the role:

As a property administrator your role will require you to provide support to management in various areas including:

  • Data entry duties including inputting information into Excel spread-sheets
  • Responding to client emails and letters
  • Producing monthly statements for our clients using the in-house software (training to be provided)
  • Sending letters and making calls to chase any outstanding monies owed
  • Ensuring all gas safety certificates and EPC certs are up to date
  • Managing property maintenance issues and keeping records of this.
  • Protecting tenant’s deposits
  • Vetting potential tenants, carrying out reference checks and credit searches
  • Internal management of meetings
  • Assisting management with all correspondence
  • Ordering/maintaining stationary supplies and office facilities
  • Overseeing tenant check in/check out process including preparing inventories
  • Regularly liaising with local Councils, Housing Benefit & Universal Credit departments to ensure tenants are paid accurately/according to entitlements. 
  • Ensure all contractor invoices have been logged, paid & charged to clients accordingly
  • You will also be required to assist the lettings/sales team with any impending matters, ensuring the smooth running of the office.

About you:

You are a well presented, articulate and personable individual who is highly motivated and possesses exceptional organisational skills and the ability to manage and work under pressure.

The ideal candidate must have:

  • At least 2 years’ experience within an office administration position
  • High levels of organisational skills
  • High speed data entry and typing skills
  • An eye for detail
  • Good IT skills (internet etc) and proficiency in Microsoft Excel & Word
  • Excellent communication skills, both written and verbal with a good telephone manner
  • A proven ability to handle confidential and sensitive management issues and information
  • Car owner/driver preferred (occasional outdoor work involved)
  • The ability to multi-task and work in a high pressure environment
  • A proven track record of problem solving and strong communication skills
  • Local area knowledge preferred although not essential to apply for this position.
  • Applicants must have a clean driver’s license, ideally their own car and most importantly be willing to work hard to join a market leader.

Salary

£9 - £12 per hour depending on experience & ability.
