Working for a well-established public sector organisation in Alnwick, you'll be an essential part of a remote team, supporting the Head of Programme and Project Support Officer to ensure the smooth running of the specific programme. If successful, you will be responsible for a diverse range of activities to support delivery of the programme and coordinate business activities. Your responsibilities will include the following:

Supporting the Programme Management Office:

-Monitor mailbox ensuring documents are circulated and stored appropriately

-Filing electronic documents to SharePoint sites

-Maintaining and updating databases including SharePoint lists & Programme SharePoint Calendars

-Arrange meeting venues through Condecco & other available resources

-Send meeting invites and track attendance

-Prepare meeting documentation, Agendas and minute taking as and when required

-Travelling to meetings required including; Newcastle, York, Leeds and London

Provide executive support to the Head of the Programme:

-Manage and maintain a diary of meetings and commitments, minimising travel time, and maximising work time

-Make appropriate travel and accommodation arrangements in line with organisation guidelines

-Arrange internal and external meetings/events, ensuring requisite facilities are available

Provide executive support to the team:

-Arrange travel through various available resources

-Provide cover for colleagues during absence as well as maintaining own workload

-Ensure expenses are submitted for approval in a timely fashion

-Process expense claims and submit details onto the Single Operating Platform, ensuring amounts claimed are within published T&S guidelines

-General Administration and support

Person Specification

Essential criteria for this role:

-Relevant experience in a similar project support role

Demonstrable experience of:

-Assisting in the delivery of projects or tasks

-Excellent organisational skills with the ability to manage conflicting priorities, together with methodical time management skills.

-Dealing with sensitive issues, acting with diplomacy and maintaining strict confidentiality at all times

-The ability to work to deadlines and targets

-Meticulous attention to detail

-Advanced IT Skills (Microsoft Office)

-Positive and enthusiastic personal disposition with a strong commitment to delivering high levels of customer service

Desirable criteria for this role:

-Ability to take concise, meaningful minutes

This is a part time, temporary position currently expected until the end of March 2020 with scope to be extended.
