JOB TYPE: Events Administrator (Part Time)

COMPANY: Retail Marketing Specialist

Term: Permanent

HOURS: 9.30am – 13.30pm, Monday – Friday

SALARY: £25,000 - £26,000 pa. (pro rata)

LOCATION: Walking distance to Angel Station

The role will be to co-ordinate all administrative aspects of our client’s events and projects (everything from processing bookings to liaising with suppliers to team managing deadlines and expenses) ensuring timely communications, clear processes, effective use of budget, smooth running of the team and professional delivery.

DUTIES INCLUDE BUT ARE NOT EXCLUSIVE TO:

* Delegate and guest management for all events including bookings and bench marking, phone, email, website and social media enquiries, email correspondence, weekly reporting and on site support.

* Pre and post event administration for partners, including but not limited to assisting registrations, liaising with partners for their requirements including marketing and delegate pack materials.

* Ensure internal and external communications with delegates, team members and event partners are timely, relevant and high quality, via telephone and both personal and team email accounts.

* Ensure the team office runs smoothly including accurate electronic and physical filing and archiving, raising purchase orders, creating event agreements, maintaining stationery and event kit.

* Act as the first port of call for retailer queries for all of our client’s events, monitoring the shared events inbox’s and responding to queries effectively in a timely manner.

* Collaborate with the Content Producer plus editorial, design and digital teams to oversee the timely production and approval of coverage in our titles and online that delivers value for our customers and builds the profile of our events.

* Collaborate with the Event Producer to oversee the timely liaison with event suppliers including venues, hotels and print providers to ensure the wow factor at all events and accurate sharing of attendee numbers and dietary requirements, delivering a seamless user experience.

* Ensure clear, timely and effective communication with partners, suppliers, staff and those taking part in/attending our events, providing key information in a professional manner.

* Regularly review and update our processes and process documents to ensure events are run as efficiently as possible and that processes can be followed in period of leave.

* Ensure timely event follow up is completed including processing and analysis of event feedback, website updates, video production and sharing of return on investment to customers.

* Attend events as required, ensuring key stakeholders are well looked-after, delegate registrations are seamless, suppliers deliver what they promise and any issues are quickly mitigated.

* Actively seek out, gather and share case studies on our events and projects to attract retailers to take part in future and customers to buy the value we deliver.

* Design, test, deliver and improve brilliant user experiences for stakeholders (partners, speakers, staff etc.), to maximise value and minimise hassle when interacting with our events, ensuring processes are documented and adhered to at all times and deadlines are met.

* Be an ambassador for the company, attending customer, industry and retailer events out-of-hours, where necessary, and be familiar with the purpose of our products, services and market positioning.

SKILLS, EXPERIENCE AND ATTRIBUTES REQUIRED:

Essential

* You are dependable and value accuracy and punctuality

* You are a competent and confident user of workplace tools like Microsoft Office, with a track record of producing and amending databases, mail merges, reports, presentations.

* You have brilliant organisational skills, demonstrated by a track record of team target hits, managing set tasks and multiple projects to a high standard, whilst sticking to deadlines.

* You are a self-assured problem solver, knowing when to make a decision and when to refer upwards, demonstrated by your ability to proactively spot problems, find solutions and seize opportunities.
