Site Administrator  Leamington, Warwickshire Fixed Term until 30th April 2020 Part Time (18.5 hours per week - working Monday, Thursday (part day) and Friday) The closing date for this post is 12 noon on Tuesday 23rd April (Apply online only) Those currently eligible on the redeployment register will be given prior consideration. Interviews will be held on Thursday 2nd May 2019 based at Leek Wootton, Warwickshire A strategic alliance has been formed between Warwickshire Police and West Mercia Police in order to enable both forces to meet the challenge of reducing policing budgets. By working more closely together the forces will benefit from greater operational and organisational resilience, making us the fourth largest geographic police area in England and Wales. The main purpose of the role is to provide wide ranging administrative and financial support to major operational sites co-ordinating the effective delivery of Business Support processes. To provide a customer focussed service and routine advice. Main Responsibilities: Provide a ‘hub’ for all routine administration enquiries for Enabling Services and Finance. Procure, receipt and arrange for the delivery of goods and services using the E-Procurement system. Provide associated routine administration support to new initiatives and systems implemented across Warwickshire Police and West Mercia Police. Deal with cash and banking requirements for the site, maintaining the Petty Cash in accordance with Accounting Instructions, including found and seized cash. Sort, distribute and collect items from the despatch system, ensuring that mail is correctly addressed and securely packaged.  Use the Franking machine and ensure the credit is at the required level. Monitor stock levels of consumable items and ensure resupply of such, within budgets, to ensure the site has adequate supplies to operate. Ensure office equipment is maintained in good order by ensuring consumables are replaced and arranging repair and maintenance as required. Order, store, record and issue controlled stationery used by the site. Ensure proper administration of the vehicle fleet using force systems.  Ensuring vehicles are available for servicing and MOT as required.  Book hire vehicles and carry out checks regarding insurance for hired vehicles. Maintain inventories and maintenance schedules for the site(s) ensuring effective asset management. In liaison with Place Partnership (PPL) and external contractors. Administer the provision and if necessary return of personal equipment .e.g. airwave, body worn video and lockers. Administer the Force ID cards in liaison with HR and be the point of contact for fuel cards. Carry out routine duties such as filing, answering the telephone, dealing with general enquiries, photocopying, administration of bookings for external courses and the hire of vehicles. Maintain and retrieve data within databases used in the business support environment.   Retrieve and present management information in a friendly format i.e. within the Key Performance Indicators audit sheet. Undertake other duties commensurate with the nature, level of responsibility and grading of this post, as required. Experience/Skills:   5 A – C grade GCSEs (or equivalent) including English Language and Maths. Previous administrative experience in a busy office environment, including knowledge of routine financial processes. Competent in the use of IT, including Microsoft packages or similar. Excellent and effective interpersonal skills. Ability to deliver customer service within a team environment. A proactive ‘can do’ approach in managing situations and people effectively. Ability to work on own initiative and as a member of the team. Ability to retrieve statistical information and present clearly and concisely. Special Conditions: May be required to work from other locations in the Policing area. Frequent Physical Effort required. Fire Warden.
