ClarityTMS are seeking a Part Time Office Manager to undertake an initial 6 month contract for our Farnham based client.
We are recruiting an experienced office professional with a similar working background. Working 3 days per week we are seeking a candidate to start as soon as possible. Working hours are 8:30am - 3:30pm (although there may be some flexibility) the annual salary for this role is to be pro rata.
Brief description of duties (not exhaustive):-
PA to MD:
* Screening phone calls, enquiries and requests and, handling them when appropriate
* Organising and maintaining diaries and making appointments
Office Management:
* Meeting and greeting visitors at all levels of seniority
* Dealing with incoming email and post, arranging couriers
* Ensuring smooth running of the office
* Maintaining office supplies (stationery, refreshments)
* Organising events
* Liaising with landlord and suppliers
* Ensuring Health and Safety Compliance
* Daily office check and on-going checks on meeting rooms and kitchen to ensure quality and cleaning
* Ensuring recycling is done
* Holding and ensuring master copies of office keys and building passes is complete and up to date
* Manage travel, book hotels and flights
HR Administration:
* Maintaining staff records
* Ensuring self-certification forms are being completed by staff upon their return to work
* Developing and implementing HR policies and procedures
* Preparing and updating company Handbook
* Planning and delivering staff HR induction
* Printing of monthly holiday/sickness reports
* Approval of all staff holiday
* As required: issue company employee ID cards
