Job Title: Sales Admin Assistant

Part Time Hours - 25 hours a week. 9.30am - 2.30pm but there could be flexibility within these hours.

Purpose:
To provide the business with excellent Sales Order Administration support, at an operational level, assist in the loading of sales orders and contract review without compromising the required quality considerations and timescales. To deliver Sales Order support in-line with the processes and procedures and to place and expedite sales orders as well as to load sales forecast onto the MRP/MPS as required. Provide admin support to all areas of the local business including Purchase Order Entry, Purchase Order expediting , BOM generation, Quality Assurance and Control, Facilities, Health and Safety etc. as required

Key Deliverables:
·Assist the General Manager and Workshop Manager in the loading, contract review of S/O and S/O acknowledgement to the other depot in Chelmsford within 48 hours of receipt, including but not limited to engineering items, hydraulics, electrical and other ancillary parts to ensure the smooth running of the business, procuring them at the optimum price level given quality and time considerations.
·Assist in providing commercial admin support to Portsmouth. To cover work from the bid stage through to implementation, ensuring on time and under budget deliverables.
·To facilitate the invoicing process including the coding of invoices to the correct overhead cost codes.
·Develop successful working relationships with internal and external customers from various functional areas to maintain best practise and expedite customer orders as required.
·Monitor, manage and generate reports of the business KPI's to enable the management team to complete month end reports.
·Ensuring all Contractual terms and conditions that are current, relevant and applied to all Sales Orders.
·Ensure all work is properly organised and communicated within the department and across the business, involving key stakeholders as appropriate.
·To Support all contract reviews, Sales and Purchase Order facilitation and assist in the development of appropriate project plans to ensure the successful delivery of customer orders.
·Assist in the generation of Customer and Supplier performance reviews to enable on site and at supplier visits to be completed.

Qualifications/Skills/Experience Required
·2 years administration experience, ideally within an engineering or manufacturing environment.
·Excellent negotiation and interpersonal skills and the ability to work on own initiative when required.
·Ability to influence at all levels within the site organisation.
·Good working knowledge of all Microsoft' applications: particularly Word, Excel and Outlook.
·Should be a good team player that is flexible and can function well under pressure.
·Excellent understanding of Sage manufacturing computer software or similar MRP based systems.
·Ability to deliver challenging KPI targets
