What is the purpose of this role?

We are looking for a professional and charismatic Executive Assistant to fully support our Group Legal Director

You will provide an exceptional and professional executive assistant service.

This position will enable you to have full autonomy to make decisions and act on behalf of an Executive Board member, always using initiative, judgement and previous professional experience.

The successful applicant will be an exceptionally well organised & diligent professional with the ability to inform, advise and guide all levels of the business. This role will require you to utilise your extensive experience working within a corporate environment within a similar/ relevant position.

What will this role involve?

  • Provide a proactive and seamless support role, with little need for formal supervision
  • Full management and responsibility of the Director's diary ensuring their time is utilised constructively
  • Accountable for the delivery of business support services across division/function
  • Proactively filter, respond to and follow through on all queries, calls and emails
  • Management of projects within own area and on behalf of Director
  • Prioritise work load and respond to frequently changing demands
  • Maintain excellent communication with your Director ensuring they are fully prepared for any meetings
  • Positive networking within own area in order to follow through on delivery of actions on behalf of Director
  • Coordinate and manage internal and external meetings within own area, ensuring cost effective solutions are provided
  • Coordinate and organise logistics around a high volume of travel and diary arrangements
  • Liaise with other Business Support roles and Senior Management both internally and externally
  • Provide excellent communication on behalf of Director ensuring they are represented professionally and appropriately
  • Act as a role model for others within the Business Support Family
  • Ability to make decisions within a well-defined framework with reference to a Director
  • Produce/prepare presentations and documents for meetings for the Director
  • Ensure continuity of work levels during Business Support absence
  • Responsible for the development and performance of own business support team
  • Ensure corporate and Executive reputation and brand is maintained internally and externally
  • Flexibility to travel as appropriate and required for the business
  • Flexibility to work hours required to 'get the job done' and 'go the extra mile'
  • Available 24/7 to provide required support
  • Handle confidential information with discretion and professionalism
  • Ad hoc administrative duties and specific project support as required

What are we looking for?

  • Qualifications: High academic standard (at least A level or equivalent) or relevant experience in similar role
  • Relevant management/business support qualification desirable
  • Skills: Excellent verbal and written communication
  • Able to develop and maintain good working relationships at all levels
  • Demonstrable evidence of excellent customer liaison skills
  • Experience: Solid experience of working at an Executive Director level - essential
  • Proven experience of multi-tasking and prioritising in a demanding environment
  • Experienced dealing with confidential information
  • Able to build strong relationships with colleagues and develop a strong network
  • Technical competencies: Highly proficient IT skills (Microsoft Office, Outlook, Excel, Word, PowerPoint & SAP)
  • Extremely good organisational and planning skills with ability to problem solve and prioritise workload with minimum direction or supervision
