We are currently looking for a Document Controller, ideally with Utilities experience but not critical as training can/will be provided, who will also undertake the preparation of the project specific Building Owners Manuals (O&Ms) and Home user guides (HUGs). They will be joining our driven and forward-thinking South Region team based out of but not limited to our Stratford Head Office.
  
You will be working closely with the Senior, Technical Managers and Coordinators, in which you will managing department and project documentation in line with project requirements and technical procedures. You will also provide a utility consultancy service to the technical department by liaising directly with external utility providers and internally - via the Managers and Coordinators - obtaining relevant information from our external consultants to allow the timely procurement of works and services related to utility infrastructure and supplies.

 Required and desired experience of a candidate:

- Previous (ideally min 2yrs) experience in working for a main contractor and/or housing developer, responsibilities inclusive of the management of multiple projects is desirable.
- Must have Asite Experience
- Prefer to have document controller experience within the construction industry.
- High proficient in using Microsoft office package (word, excel and PowerPoint)
- Excellent verbal and written communication skills.
- Good understanding of industry BS and ISO standards

Duties (but not exhaustive of):

- Manage both internal and external documents through the document management system Asite.
- Uploading and downloading of information to and from Asite.
- Dealing with RFI’s, technical submissions, Site instructions etc.
- Ensure all teams (both within L&Q and its third party consultants and subcontractors) working on projects are complying with the document control protocols and procedures.

Responsibilities:

- Check compliance and quality of all documents being uploaded.
- Maintain a register of documentation and files uploaded to Asite for each project, creating basic reports when required on uploaded information and downloaded information.
- Distribute documentation to relevant people internally and externally 
- Liaise with project teams to train and advise when using Asite.
- Agree and authorise the necessary distribution lists for all the information related to projects as agreed by the project team.
- Perform document management audits to ensure all projects are following protocols.
- Manage documentation storage.
- Maintain company standards, with regular monitoring and reviews to the document management and filing processes.
- Advising on improvements and changes required to meet the organisations on-going needs.
- Provide administrative support where necessary
- Ensure document management standards comply with industry BS and ISO standards

Key elements of the position:

- Ensuring all drawings, specification & registers are correctly associated to the correct work packages as per the Master Design info register. Knowledge of the technical process required for residential development and utilities is essential. 
- For this post you will need good problem solving, communication and analytical skills. Also, project management skills and a high level of computer literacy (Asta, and Microsoft packages) will be required. In depth knowledge of Asite and a good understanding of BIM Level 2 requirements and industry BIM protocol required.
- Maintain the project BIM Execution Plan and ensure its implementation in accordance with Employer Information Requirements.
- Creating work packages break down lists on Business Collaborator as per the Estimating Managers Master Procurement schedules and ensure kept up to date with any revisions issued

Good organisational skills, able to demonstrate highest levels of time management against back drop of a demanding environment.
