Job Description
We are seeking a highly organised and efficient Senior Administrator to join a busy recruitment agency in the heart of Godalming.
Duties will include:
PA to Director
Booking travel, events, appointments and meetings
Diary management
Typing, compiling and preparing correspondence
Recruitment Administration
Dealing with incoming queries and transferring to appropriate consultant or taking message.
Telephone Screening candidates and sourcing leads
Taking candidate Passports when consultants are registering ensuring they are legally able to work within the UK
Maintaining Administrative systems
Database management
Update Candidate Database
Delete CV’s and job adverts from website weekly
Advertise jobs on CRM and online platforms in a timely manner
Assist Associate Director with weekly Temps Checklist
Regularly update Available Temps spreadsheet
Regularly maintain temporary staff file, obtain references, bank details and contracts
Responsible for ensuring Window adverts updated weekly
Responsible for updating adverts and deleting as required
Compile Terms of Business for client meetings
Format CVs & Load CVs on client portals
Create monthly KPI spreadsheets
Create placement paperwork
Send candidates in-house tests and record results
Order stationery, printer cartridges, business cards & Christmas cards
Organise company events such as Christmas Parties & summer away days
Organise and manage office desk moves
Replenish office supplies such as coffee, tea, cleaning supplies
Liaise with office suppliers e.g. water cooler, air conditioning, shredding, alarm inspection, cleaners
Ensure general tidiness of office.
GDPR Compliance
Padlock candidates on CRM
Remove unsubscribers from emarketing
Manage Data Processing Agreements
Ensure staff are adhering to policies
Marketing Administration
Create candidate mailshots & specs and liaise with marketing agency to ensure they go out accurately and in a timely fashion
Manage cold and warm data and unsubscribers
Monthly marketing meetings
Liaise with marketing agency to publish Job of the Week every Tuesday
Liaise with marketing agency to organise social media posts e.g. industry news, GIFs, social media days
Other ad-hoc marketing duties as required e.g. managing larger marketing campaigns and liaising with marketing agency for strategy plans
Financial Administration
Monthly petty cash
Liaise with Finance Director regarding invoices and incoming post
Keeping up to date on supplier costs and cutting costs where appropriate
Skills Required:
* A minimum of 2 years’ experience within an administration role
* Highly organised with the ability to manage a busy and ever-changing workload
* Excellent attention to detail
* Knowledge of MS Outlook, MS Word & MS Excel
* Experience of working within recruitment (desirable)
