This is an excellent opportunity for a highly motivated and experienced Executive Assistant to join a lovely charity in supporting our joint Chief Executives in the planning and delivery of their workload, and to support the smooth functioning of the governance structures.

You will be a highly organised, proactive and articulate professional, adept at keeping plans and people delivering on task and on time. You will have the ability to build collaborative working relationships and successfully operate at senior management and Board level. You will have the required line management skills and abilities to manage a part- time team of Reception staff

The main responsibilities as follows:

Providing high quality, comprehensive administrative and executive support, including efficient diary management, for the Joint Chief Executives at the
Main point of contact for all visitors for the two Joint Chief Executives, ensuring all interactions and community engagements are in line with Trust's
Planning and coordinating all relevant meetings which include Executive team meetings, Board meetings, AGM and any other general committee
Providing logistical and administration support for all meetings and Board events; arranging suitable meeting premises; preparing and circulating agendas in consultation with the Board Chair, Chief Executives and Head of
Oversight of the preparation of Board meeting papers ensuring timely dispatch to Board
As and when required, taking high quality accurate minutes of a wide range of meetings and circulating them for appropriate approval and sign
Checking to ensure that all agreed actions from meetings have been carried out and up-to-date records are kept of Board and committee
Administrative support on Trustee and staff recruitment and induction as and when
Supporting the Director of Resources in Line management of two part-time receptionists, ensuring the provision of a high quality reception service for the building. You will be responsible for their performance management and arranging annual leave and sickness absence cover when
Supporting the Director of Resources in maintaining a suitable office environment ensuring the efficient running of the office. You will have oversight of the stationery supplies and equipment ordering, liaising with relevant suppliers, setting up AV equipment for You will also support the Head of Finance and IT in managing all IT equipment.
Supporting the archiving process both electronically and manually in line with the Trust's policy on document
Maintaining excellent levels of Health and Safety within our office and supporting the Facilities team in supporting the Facilities team in carrying out risk assessments and making recommendations for a safe working
Effectively contributing to make the team a high performing team in line with the values of the
