Job description

Working with the Divisional Business Support Unit Manager (BSUM), you will play a pivotal role in ensuring that financial resources are aligned with Survey and Inspection priorities.

You will provide financial and administrative support across the Divisional Area, including processing customer accounts and managing end to end invoicing and refunds, and ensure consistency in approach to Business Support within the Business Support Unit and between Marine offices.

Responsibilities

Your duties will include:

• working under the line management and direction of the EO Business Support Unit Manager (BSUM) to ensure consistent Business Support that is aligned with business priorities and to develop working relationships and processes that improve the efficiency of the Division

• engaging with Finance and Procurement Teams to adhere to high levels of Governance relating to the Shared Services platform (Agresso), ensuring full understanding and compliance across the Division

• provide routine administrative business support (including telephone answering, filing and post duties)

• assist with the management of Divisional Estate, Finance, ICT and Health & Safety

• assist with internal and external Audit preparation

• provide secretariat support for internal and external meetings

• support the Enforcement Unit, as and when required, in dealing with any routine investigations and offences committed, leading to court proceedings and prosecution

• respond in a timely and responsible manner to the contents of Agresso "in boxes" to agreed timescales and, if required, complete weekly timesheets on Agresso by agreed timescales


About you

We are looking for someone who understands financial management and control and is confident in completing a range of financial transactions. You will need be highly numerate with strong attention to detail, and be able to interrogate and record data accurately and spot and correct financial anomalies.

You will bring experience of providing administrative support within a busy office environment. You have excellent organisational skills and will be able to manage and filter your workflow as well as organise and prioritise your work to achieve all deadlines. You will be highly adaptable and flexible, adjusting to the requirements of the role.

Customer service skills are essential for this role as you will be representing the agency when dealing with internal and external stakeholders. You will be confident in providing excellent customer service and love to go the extra mile to ensure you give a first-class service.

You will have exceptional verbal and written communication skills with the ability to tailor these and can do so in a clear, professional and confident manner. Proven IT skills are also essential, especially being able to use Microsoft Office software including Word, Excel and Outlook.

The Maritime and Coastguard Agency (MCA) is an executive agency of the United Kingdom working to prevent the loss of lives at sea and is responsible for implementing British and international maritime law and safety policy. It is also responsible for land based search and rescue helicopter operations from 2015.
