Part time receptionist required for Improving Lives Plymouth a long established organisation who have an excellent track record of delivering services to meet the needs of individuals and community and voluntary organisations. They run information, advice and support services for people with disabilities and long-term health conditions.
The successful applicant will provide a welcoming, professional and efficient reception service for a very busy reception area.
Key Responsibilities:
* Welcome visitors, issuing of forms and directing clients to the correct department
* Operate switchboard and take messages as required
* Provide a non-judgmental, caring & understanding attitude to people from diverse backgrounds, age ranges and disabilities
* General typing using Microsoft Word, the Internet & Email
* Signpost clients to appropriate services within the city
* Maintain strict confidentiality of visitors
* Support Operations Manager with presence on social media platforms
* Undertake any other tasks consistent with the job description.
Hours of work:
* 9am – 1pm Monday to Friday
You will be required to cover five weeks’ holiday leave for the afternoon receptionist (1pm – 5pm). You will also be expected to cover any sickness leave for this person, whenever possible. Additional payment will be made for this.
There is an expectation that the Morning & Afternoon Receptionists form good working relationships, as they need to provide cover for each other. Therefore, flexibility is important, as is punctuality.
Person Specification:
Experience:
* Proven work experience as a receptionist or in a customer facing role
* Customer Service - phone, email and face to face communication
Skills and competence:
* Excellent communication skills
* Excellent organisational skills
* Competent keyboard user and accurate typist
* Ability to handle customer complaints in an appropriate manner
* Ability to keep strict confidentiality
Knowledge
* General awareness of a reception role
* Computer literacy (MS Office applications, in particular)
* Use of internet and email
Education and Training
* Minimum of GCSE education
Essential Personal Qualities
* Non-judgmental and patient approach to people from diverse backgrounds, age range and/or disabilities
* Willing to support others and to be part of a team
