Dorsett Shepherds Bush, is a listed building with 317 rooms, 2 restaurants, 3 meeting rooms and an executive lounge. The hotel opened its doors in June 2014 and over the last years gained the reputation of delivering excellent guest experiences in a beautiful hotel with comfortable and well-appointed rooms.

To maximize revenue through efficiently making all groups, meetings and event bookings whilst providing exceptional service.

Principal Accountabilities

  • To provide a courteous and co-operative service to clients and other departments at all times.
  • To deal with all enquiries promptly and efficiently with a 24-hour response time, using Rate Matrix, PMS to provide rates for all residential meetings
  • To quote on all meeting and group related enquiries and be responsible for converting business within the parameters set by the Revenue Manager and the Reservations Manager.
  • To check all accounting instructions have been agreed pre arrival and in accordance with the company credit policy.
  • Take charge of all Billing instructions and ensure all PM’s are checked out as per company policy
  • To ensure all promotion codes are correct, tour numbers and details report to correct market segment.
  • To check rates and other charges daily for all in-house groups
  • To ensure all final numbers and meeting detail reports are to correct market segment.
  • To check the correct rates and revenues are charged for all in house meetings.
  • To meet and greet all group/tour leaders on arrival to ensure check-in runs smoothly. To be the main contact for the group whilst in residence and to liaise with tour operators, conference and booking agents as well as clients direct, on all operational aspects to ensure that each group runs smoothly.

  • To maintain an efficient filing system to ensure all meeting arrivals can be located quickly and easily
  • To ensure all rooming lists are entered and kept up to date in opera and double-checked to confirm that all names are listed accurately.
  • To be responsible for following up and administrating all non-arrivals and no shows.
  • To record all conversations with group operators in Opera to facilitate a permanent record of any agreements or offers made.
  • Produce accurate monthly production figures
  • To be responsible for finalizing and check out all invoices after the meeting or group has departed and liaise with accounts to ensure correct billing (as per contract) and correspondence/signatures are attached authorizing charges.
  • To discuss any issues and challenges regarding groups with the Reservations Manager/ Area Director of Sales with ideas for appropriate solutions were necessary
  • Liaise with F&B confirming menus and arrangements for all meetings and groups
  • The day prior to meetings and or groups arrivals, a summary sheet must be distributed to all relevant departments with all meeting details as well as having a daily hand-over with Front Office to ensure event clarity by 4.00pm.
  • Ensure all booking notes are kept up to date in the Opera diary
  • To maintain an accurate minimum of 9 month meeting and groups information in Opera
  • To conduct site inspections for groups and meeting clients as required.
  • To assist the Sales Team where necessary with familiarization trips.
  • To assist the reservations team in totality wherever necessary.
  • To ensure all provisional bookings are input directly into Opera as per all SOP’s.
  • To operate a chase/trace system whereby all provisional bookings are chased on a regular basis in order to convert and contract, ensuring all confirmed business is contracted correctly.
  • To adhere to a chase/trace deposit system in order that all deposits are chased to ensure payment is made prior to the group’s arrival.
  • To attend all daily and weekly operations meetings
  • Ensuring meeting and groups contracts are sent as per company standard and cancellation policies are adhered too.
  • To develop with the Area Director of Sales a year planner, therefore identifying and managing seasonal peaks and business trends.
  • To help identify market trends and co-ordinate sales activities accordingly with Area Director of Sales .
  • To ensure that the weekly events sheet are produced and distributed on the agreed day of the week, and that any amendments are sent to all departments as soon as possible.
  • Host Conversion days with team – ensure all booking status are up-to-date and bookings have been loaded according to company standards.
  • To ensure that all assistant front office managers are trained and have necessary tools to help with an enquiry out of hours.
  • To maintain an effective control of room availability, maximizing the occupancies and yield at every opportunity.
  • To ensure that every opportunity to maximize sales within the department and the Hotel is taken up and developed to its full potential – upselling all outlets at every opportunityTo build and establish effective relationships with industry colleagues.
  • To influence Executive Management positively when seeking agreement
  • To role model the best practice of negotiation in front of colleagues
  • To ensure that issues and problems are addressed in a timely manner and that colleagues have a positive attitude towards ownership and resolution.
  • To assist the reservations team in totality wherever necessary.
  • To be fully supportive of the organizational goals.
  • Host team meetings and all relevant HR meetings for direct reports
