My client is well known global business based on the outskirts of Uxbridge.

The role will require and experienced Senior Coordinator who can support the Medical Department as well as provide support to another Business Unit on an interim basis.
Two days per week will be supporting the Medical Department on an ongoing basis whilst interim cover is required for another Business Unit.

This role would ideally suit someone looking for a part time role but happy to cover full time on a short term basis.

Support and coordinate the Medical Department's activities, whilst leading on certain initiatives.
Role

* Act as local super-user and administrator for the affiliate's electronic approval system (e.g. ZINC or other appropriate tools)
* Archivist for all hard-copy items in accordance with the relevant Codes of Practice
* Work with and support the Compliance team in the tracking of compliance activities and review
* Support the Compliance team in matters of Disclosure
* Manage the Medical, Education, Grants and Services (MEGS) process in collaboration with medical advisors and marketing teams
* Coordinate invoice/purchase order system for Medical Department
* Administrative support for documenting, filling, indexing and record keeping for the medical department
* Manage contract management and tracking system for the affiliate, including logging, saving indexing contracts and key contact and local expert for global contract management system

Skills

* Proficiency with Outlook to manage calendars, schedule meetings, conference calls, and special events including exercising discretion as to priority and decision-making responsibility
* Arrange multi-location domestic and international travel arrangements and expense reports with accuracy and efficiency, including follow-through to ensure that appropriate and timely action is taken
* Interact effectively and professionally with internal and external customers and with external visitors
* At least 5years of administrative support experience including at least 2years at the executive support level required
* Previous experience in a pharmaceutical or biotechnology firm is desired (Medical experience is preferable)
* Must have strong writing and communication skills, and the ability to interact confidently with employees at all levels
* Able to prioritise time-sensitive assignments
* Should be able to work autonomously, and at the same time, collaborate and partner effectively with other members of the administrative team
* Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
* Must be able to effectively multitask in a fast-paced environment while maintaining confidentiality and discretion.
