We're a small yet entrepreneurial and ambitious transformation, leadership and innovation company - Switch On (www.switchonnow.com)  - that makes a real difference to people's lives and to building the better world we all want to see. We are looking to hire someone super-organised, digitally-savvy, detail-oriented, self-empowered and enjoyable to work with to support the core operations and growth of our business. You must be good at rapid task switching, seeing the big picture as well as the smallest detail, and keeping multiple strands of work progressing forwards. Ideally you will have some interest in our area of work and care about delivering high-quality experiences that change people's lives.

We deliver empowerment workshops, innovation projects, leadership programs, personal development experiences, and keynote speeches all over the world for blue-chip companies and government organizations (e.g. Intel, Unilever, NHS, No 10 Downing Street etc). We also produce digital products, meditations, books and soon an app. We are currently expanding our offer to provide workshops to the public as well as for top leaders in companies and this role will support this transition as well as our forays into podcasts, web TV and apps.

We have detailed and effective processes for our products and projects and we develop new systems whenever we venture into new areas (such as the podcast we are starting this year). The core role of the assistant will be to manage, execute, and continuously improve these processes effectively and efficiently and to support our growing team to grow the business so we deliver more impact into the world. There are also plenty of opportunities to add creatively and entrepreneurially to new projects once the assistant has nailed the core operational requirements.

Key Responsibilities Include but are not limited to:

  • Manage weekly activities / workflows for key operations; keynote speaking, consulting programs, open programs, content publishing and marketing. This Includes:
    • Manage our weekly plan
    • Liaise with clients on dates, updates, print outs, tech needs etc
    • Make travel arrangements for team as needed
    • Ensure general office organization
    • Proofread proposals and books
    • Follow up proactively on tasks and assignments from the Directors
    • Support the company’s administration including maintaining information on performance against targets
    • Organise contracts and payments
    • Find and manage freelancers using sites like peopleperhour.com etc
    • Support external experts (PR, marketing etc)
    • Post on social media
    • Desk research for new ideas and projects
    • Basic word-processing and presentation changes
    • Manage venue hire
    • Manage and update our templates
    • Liaise with others in the team to monitor progress
    • Supply monthly numbers in a dashboard of what we have achieved
  • Manage CRM system(s) including:
    • Ensure contacts are up to date in terms of last contact, address etc
    • Research new leads and prospects
    • Send out emails on behalf of the CEO / team, via software (Hubspot, Nimble)
    • Develop our key client relationships with bookers, finance people, admins etc
  • Caring for key clients / accounts / partnerships / workshop participants including
    • Post and message on LinkedIn
    • Send books to current and prospective clients
    • Send thoughtful thank you gifts
    • Research relevant podcasts and events for Directors to speak at
    • Send outreach emails to podcasts / conferences etc
    • Support workshop participant with their needs with efficiently but also courteously
    • Manage boundaries with our customers clearly yet positively
    • Manage after sales questions / issues
    • Manage our online communities - current (LinkedIn, Facebook) and new experiments like WhatsApp
  • Support the rest of the team in general including:
    • Website updates (wordpress)
    • Update our digital assets (PDFs etc)
    • Manage website and CRM integrations
    • Social media management - paid social, paid search 
    • Mange our Amazon and publishing accounts
    • Update lead capture forms on the site
    • Improving our sales funnels for our programs and products

Key details: 

Days: 2-3 days/wk. It is vital that you can respond to emails / clients at least once (ideally twice) per day during business hours on days that you arent working the whole day.

Location: We would like you to work at least 6 hours a week in our small office near Lewes in East Sussex (this may rise on occasion when we have creative workshops or are sending books out). The rest can be done from home although you are welcome to use the office more often if you like being away from kids etc. A car is useful to get to the office although there are some buses from Lewes/Brighton.

Contracting: 6 month fixed term contract initially (with 1 month probation period) then a transition to employee status

Renumeration: £20-30K pro-rated to days working, depending on experience, skills, and value-add
