Job Summary

Secret Adventures is a small, start-up London based adventure business organising adventures in London and beyond. We work from a shared workspace in London Fields (Work.Life London Fields E8 3DQ). You can find out more about us on our website here: www.secretadventures.org

The role is designed to support the founder of Secret Adventures in their day to day administrative duties. This will include answering Secret Adventure’s customer enquiries in a timely, efficient and friendly manner. Day to day administration of the Secret Adventures website and ticketing platform. Creating engaging social media posts and overseeing accounts. Various general administration and other tasks as needed. You will also have the opportunity to come on some of the adventures so you have first-hand knowledge of the experience to feedback to customers!

Duties and Responsibilities

Customer Service

  • Manage the main inbox and answer all enquiries daily via Secret Adventures email account and social media accounts.
  • Notify customers of any changes to events via email; ticketing website and SMS.
  • Issue attendee lists to event managers where necessary.
  • Process customer refunds or ticket changes.

Bookings

  • Liaise between customer and third-party providers for corporate event bookings.
  • Issue invoices via Xero.
  • Help to promote and generate increased corporate event bookings.

Website

  • Update and maintain Secret Adventures website (add new events; add new event dates; product updates; reporting).
  • Add gift cards to system.
  • Monitor bookings and numbers on live events.

Administrative Responsibilities

  • Weekly catch up with manager via Skype and meet up once every 2-3 months at WorkLife office in London.
  • Manage Google Drive and contents.
  • Manage Secret Adventures inbox.
  • Update Google calendar.
  • Add customers to MailChimp newsletter.
  • Create reports when requested.
  • Check third party provider invoices are correct against past events.
  • Add events to What’s on Listings.

Social Media

  • Create relevant and high-quality content and copy for 2-3 social media posts per week (Twitter; Facebook and Instagram).
  • Create a regular publishing schedule using Later.
  • Reply to comments and direct messages on all social media platforms.
  • Liaise with external digital marketing company.
  • Weekly check of analytics.

To deliver services effectively, a degree of flexibility may be required in the duties performed in order to meet the demands of service.
