This is a fantastic opportunity for an enthusiastic and experienced Executive Assistant looking to apply their existing knowledge to an exciting new role where you will be part of our Macquarie Capital Infrastructure Investment and Development team in London (1 Managing Director and 1 Senior Vice President). It will be your responsibility to ensure all the support requirements of the team operate smoothly and efficiently.

This is a fast-paced role requiring a positive, confident and proactive approach as well as exceptional time management skills.

Your key responsibilities will include: diary management including arranging both internal and external meetings plus video and conference calls; regular interaction with assistants and clients (internal and external companies) including coordinating conference calls with international offices and managing different time zones; working with clients for board meeting coordination, paperwork preparation and signing; booking business travel and accommodation, visas, meeting rooms, restaurants etc; answering all calls professionally and in a timely manner, passing on messages to the team; compilation of out-of-pocket expenses and completion of expense claims; enter contacts, client meetings and meeting notes into Salesforce; event organization both internal & external, virtual and in person; paying invoices and raising purchase orders; and arranging printing and domestic/international couriers.

To be successful in this role you will have a proven track record in providing Executive Assistant support within the Professional Services industry. You will be able to demonstrate a proactive approach with the ability to fully understand the nature of the business and priorities within the team. You will be extremely organised with excellent attention to detail and follow-through. You will be resourceful and can work independently as well as within a team. You will also: thrive in a dynamic business where accuracy, hard work and flexibility are imperative; have excellent verbal and written communication skills; able to exercise appropriate judgment and discretion, especially when handling confidential information; and have the ability to work with various personality types.
