Job description

The Maritime and Coastguard Agency (MCA) are looking for a highly diligent Business Support Manager to lead a team of administrative staff providing support to MCA outstations. You and your team will play a pivotal role in delivering financial, management, and administrative support to colleagues and stakeholders throughout the agency. You will be responsible for ensuring that the Coastguard Volunteer (CRO) remuneration is processed accurately & timeously, working closely with colleagues across MCA. You will oversee national Coastal Operational and Maritime Operational support functions, ensuring a quality standard approach and will provide support to Business Support Lead/ Business Support Partner on all estate matters and assist in the management of MCA financial budgets.


Responsibilities of this role are, but are not limited:

• Actively engage with the Business Support Partner, Business Support Lead and HMCG HQ Business Unit colleagues to ensure delivery of a seamless administrative support is provided across HMCG.
• Management of the Coastguard Rescue Officers (CRO) Volunteer payroll ensuring robust processes in place to deliver system data input and audit requirements. Collaborating with Coastal Operations colleagues to support timely and accurate submission of claims and payroll amendments. Champion best practice and consistency across Coastguard Divisions.
• Ensure line management of staff is accomplished in accordance with the Agency's policies and procedures and in line with the mandatory management and leadership objective for all managers (grade 6 to EO). Undertake regular progress reviews including feedback and coaching, address performance issues, set SMART objectives and complete Performance Management Reports / Personal Development Plan's in a timely manner.
• Support the Business Support Partner & Business Support Lead to proactively manage HMCG Operational budgets in line with guidance through the monitoring of spend across CGOCs and Divisions using appropriate Shared Services reporting tools.
• Support the Business Support Partner & Business Support Lead facilitate the daily maintenance of the National Estate ensuring value for money in conjunction with Operational managers, Estates HQ staff and MCA Property Advisers as appropriate. Reactively review services provided by Total Facility Management Company (as reported by Operational colleagues) ensuring any failure in service delivery is challenged and escalated as appropriate.
• Provide a Facility Management service for all MCA staff and tenants within Marine House, Aberdeen.
• Oversee the management of the Estates national procurement.
