Description

  • In liaison with committee chair, prepare and collate agreed agenda and papers and issue to committee and subcommittee members;
  • Attend all committee and subcommittee meetings, taking an accurate minute and agreed actions for attendees including Board Directors;
  • Co-ordinate responses to Board minutes and actions, liaising with other Directors and SLT when required;
  • Provide comprehensive secretarial support to the CE and SLT as required, attending SLT meetings, taking minutes and following up as required on actions and outcomes;
  • Management of incoming queries and inbox for the CE dealing with any answerable queries directly. Prioritise and escalate those that need dealt with;
  • Support the Chief Executive with correspondence to all stakeholders including MSPs;
  • Manage CE's diary and appointments effectively;
  • Ensure annual schedule of meetings is effectively organised and published to SLT and Board members;
  • Handle confidential information on behalf of the CE and Board including financial and employee reports;
  • In liaison with the People & Culture team, support board level recruitment activities;
  • Act as a point of contact for Board members' enquiries in relation to organisational matters;
  • Maintain and update relevant databases and document management systems with accurate information as directed by the CE and other SLT colleagues;
  • In liaison with the Company Secretary, comply with all legal requirements as they pertain to Board governance;
  • Respond to complaints after consultation with CE;
  • Arrange room bookings for external Board meetings and strategy sessions, ensuring that all equipment is in place;
  • Collate SLT holidays and publish within Outlook.

Profile

  • High level of literacy and numeracy
  • Ability to prioritise and work on own initiative
  • Proficient IT skills including working knowledge of Microsoft office
  • Strong interpersonal skills and the ability to deal with a wide variety of contacts such as the board of directors, senior managers, key supporters, MSPs, and other partners
  • Excellent organisational skills
  • Attention to detail - ability to provide accurate analysis, data and draft reports
