This is a wonderful opportunity for an experienced corporate receptionist to join a large and prestigious organization based in Chippenham. You will be working in a large, beautifully presented, purpose built facility which houses upwards of 125 staff.

With frequent guests and callers, we are looking for someone who will represent this organization in a professional and credible manner and offer the very best experience to everyone visiting their premises.

Job Summary

  • To run a busy corporate reception area and assist with all aspects of facilities management as required.

  • Ability to multi-task, prioritise and work well under pressure
  • Excellent knowledge of MS Office suite application (Outlook, Excel, Word)

  • Excellent Interpersonal skills, professional approach and attitude
  • This role requires smart business attire to be worn

Principal Duties

  • Answering the main reception line and directing calls as necessary
  • Checking and actioning Reception and Facilities emails
  • Ensuring everyone who passes through has a staff door pass or visitor pass
  • Meeting and greeting visitors
  • Booking visitors into main reception:

- Signing in book and visitor badges

- To guide/advise on company security and health and safety policies, including Fire/Evacuation procedure

  • Preparing the external mail for collection including special deliveries and couriers where required
  • Preparing outgoing mail for posting, including use of Royal Mails OBA tool
  • Booking meeting rooms for client visits
  • Monitor and log CCTV
  • Update phone lists/staff directories
  • Arrange maintenance and services for the office
  • Arranging catering for client and other meetings
  • Ensuring post is sorted and distributed in a timely manner
  • Ensuring Reception area and meeting rooms are kept tidy and the fully stocked as well as checks prior to meetings
  • Booking travel arrangements including train, taxis and hotels as required
  • Ordering stationery and monitoring inventory, and other office suppliers
  • Ensuring the Reception manual is updated at all times
  • Any other ad-hoc admin tasks that may be required
