Owing to an internal promotion the Survey & Inspection National Business Unit is now looking for an additional Business Support Officer.

Job description

If successful you would work closely within a small team under the direction of the Business Unit Manager to ensure that business support and financial resources are aligned with Survey and Inspection priorities. You will ensure consistency in approach to business support within the Business Unit and between Marine offices. Providing financial and administrative support across the Survey and Inspection unit. Processing Shipping Accounts, Invoicing and Cash Accounts through the Agresso (ABW) platform.

No experience is necessary as full training will be given. It’s your enthusiasm, helpful manner and willingness to learn that we require. What we do ask however is that you feel comfortable engaging with colleagues and customers, have good writing and numerical skills and are keen to help others.
 

Responsibilities

Include, but are not limited to:

•Work under the direction of the EO Survey & Inspection (S&I) Business Unit Manager to ensure that consistent business support aligns with Survey and Inspection priorities.

•Develop working relationships to improve the efficiency of the Business Unit

•Regular engagement with the MCA HQ Finance and Procurement Team in order to adhere to high levels of accuracy and governance, particularly relating to the Agresso (ABW) platform.

•Ensure full understanding and compliance with MCA requirements across S&I (Business Unit, Marine Offices, including remote workers), with particular emphasis on Shipping Accounts, Cash Accounts and Invoices. Report to the EO S&I Business Unit Manager any identified risks within the Business Unit as soon as immediately practicable

•Undertake the updating of the weekly and monthly cash account and prepare paperwork for banking of cash and cheques

•Provide routine administrative business support. This may include maintaining a shared email inbox ensuring a timely response to queries and action on applications received, telephone answering, filing (paper and electronic systems) and post duties.

•Provide secretarial support for internal and external meetings

•Assist the EO S&I Business Unit Manager with internal and external audit preparation

•Assist the EO S&I Business Unit Manager with the management of Finance, ICT and Health & Safety within the Business Unit

About you

To thrive in this role, you will be organised with a keen eye for detail, allowing you to identify errors to ensure business standards are adhered to.
You will be a team player and enjoy working closely with your colleagues, but also someone who can work with minimal supervision when required. You are flexible and can adapt to change when needed. Being an effective communicator, you can clearly communicate with both internal and external stakeholders at all levels. You can use your superb interpersonal skills to build and maintain strong working relationships with stakeholders at all levels. Basic knowledge of Excel is required for this role.

Additional information

Once usual service resumes, there may be occasional travel required with this role, which may include some overnight stays. You will be provided with full notice of this.
