Monday – Friday 08:30-17:00 with some flexibility.

At Apollo Underwriting, we are experiencing an exciting period of growth and are seeking a Receptionist to join our growing business.

The successful candidate will act as point of contact for external clients both face to face and by phone, ensuring the Reception runs smoothly.

Responsibilities

  • Operating the switchboard and handling messages efficiently 
  • Monitoring shared reception Outlook inbox and replying professionally and promptly 
  • To meet and greet clients/visitors, to inform relevant parties of their arrival 
  • Ensuring day to day office attendance records are accurately logged 
  • To ensure that the Reception area and meetings rooms are tidy and presentable at all times 
  • Booking and preparing meeting rooms and arranging conference/ Zoom calls.
  • Arranging refreshments and lunches 
  • Monitoring groceries/ consumables for all 3 floors and ordering as required. 
  • Restocking the kitchen, reception area and meeting rooms 
  • Booking taxis, couriers and ordering flowers where appropriate 
  • Booking global and multi-stop travel as well as accommodation, currency, visas and transfers 
  • Stationery ordering and organisation of the stationery cupboard 
  • Logging and distributing invoices 
  • Processing of expenses on Concur 
  • Filing of delivery notes/keeping files organised 
  • Distributing post 
  • Administering security passes for staff and visitors 
  • Maintaining the company’s internal contact lists, adding new joiners, updating reception manual, both online and in hard copy 
  • General ad hoc administration to support to the business 
  • Assisting with event organizing (EG external meeting venues/ sponsored drinks events/ staff social events) 
  • H&S sweeps of all floors daily and reporting issues/ hazards promptly. 
  • Logging building maintenance issues with Helpdesk as required.
