This is a fantastic opportunity for an enthusiastic Executive Assistant like you to apply your existing experience and develop your career. This is a fast-paced role requiring a positive, confident, and proactive approach in a pressurised environment.

Macquarie Asset Management is seeking an Executive Assistant with your experience to support their Real Assets division, supporting a team on a fixed term contract until June 2022.

Your responsibilities will include, but not be limited to: 

  • extensive calendar management, including booking meetings, managing conflicts and booking rooms/catering etc
  • making travel and accommodation arrangements and organising visas
  • processing purchase orders and invoices using Coupa
  • processing the team’s monthly Amex / personal expense claims using Concur ensuring all deadlines are met
  • producing and coordinating documents for board papers and meetings including printing, binding, scanning
  • general ad hoc requests and support including organising events for the team
  • providing support for other Executive Assistants as required. 

To be successful in this role you will have a minimum of 5 years work experience supporting senior directors and a team within a fast-paced office environment.  You will have strong Outlook experience and be able to manage several calendars, working across different time zones.

You will also have excellent Microsoft Office knowledge; be able to manage information flow in a timely and accurate manner; have exceptional organizational and time management skills; and have excellent attention to detail and verbal and written communications skills.

The ability to balance conflicting priorities and make decisions accordingly and having a proactive and enthusiastic attitude, with the ability to anticipate needs of team members and act as necessary are also essential. Good judgement and discretion when dealing with confidential matters and being able to working as part of a team will be beneficial in this role.
